Reward Assistant

We have an exciting opportunity for a Reward Assistant to join our growing Reward team.

Reporting into the Reward Manager, the main purpose of this role is to provide high quality payroll and benefit support to the team, and all employees and Partners across the UK offices.

This is a permanent position, based out of our Bristol office with some home working too.

The Team

Our HR team is highly respected for the central and strategic role it plays in making Osborne Clarke a great place to work. The team is made up of 60+ people, covering human resources, reward, recruitment, responsible business and people development across all three UK offices. We are a friendly and supportive team, working closely together to help ensure Osborne Clarke's continued growth and success.

The Reward team is based entirely in our Bristol office and is made up of our Head of Reward and three team members.

What you'll do

This is a varied role which will see the successful candidate cover a range of tasks and include duties such as:

Payroll

  • Working with our Payroll Executive to check data accuracy for payroll submission
  • Processing overtime, out of hours payments, season ticket loans, cycle to work deductions and Give As You Earn donations, ensuring payroll input and our HR system (SelectHR) is updated accordingly
  • Processing the monthly Aon payroll files
  • Assisting with checking the monthly payroll input against the audit to ensure data integrity within SelectHR/Pay (including but not limited to leavers, family leave, absence, secondments and working patterns changes)
  • Sending remittance advice to the relevant third parties prior to payments being made
  • Liaising with Finance and employees to address any rejected salary payments and ensuring details are updated for the following month
  • Liaising with our payroll provider (SelectPay) to resolve any user access issues with payslips/P60s
  • Assist with the checking of New Joiner input against SelectHR, flagging queries to the Recruitment team (via the new joiner queries log) and ensuring Starter Declarations/P45's have been received

Benefits

  • First point of contact for flexible benefits (Flex) queries from employees and Partners, escalating as required
  • Processing the monthly Aon benefit & provider files
  • Liaising with Payroll Executive to verify pension changes before processing for payroll, flagging any discrepancies with Aon. Updating SelectHR benefit records with changes
  • Distribute Smartenrol pension auto-enrolment emails, reminding Employees to verify their email address
  • Add benefit records to Select for new joiners

Ad-hoc

  • Monitor the Reward inbox ensuring all emails are responded to or forwarded to the relevant team member in a timely manner
  • Supporting annual BAU projects such as Flex annual enrolment window, holiday buy/sell, profit share, bonus and pay review
  • Working with the Payroll Executive to circulate annual processing schedules (payroll and benefits) and ensure key dates are in the team's diaries
  • Updating the Intranet to ensure effective and up to date benefit information
  • Actioning invoices for payment

What we're looking for

You'll need to demonstrate:

  • Proficiency in using Excel, including advanced formulas, v-look ups etc with precise attention to detail - this is key
  • Ability to manage large volumes of data
  • Strong organisational skills
  • Practical problem-solving approach
  • Strong communication skills
