Job title: People Services (HR) Administrator

Advertised Salary: £25,500 (full time equivalent)

Hours: 22.5 hours per week , ideally 3 days a week. Specific days flexible.

Contract: Fixed term contract or internal secondment until 31/12/2025

Location: Working from home, must have access to Leeds for occasional (roughly once a month) face to face meetings.

We are currently recruiting for a People Services Administrator. This is an Operational role within the People Service Centre. The role holders are the first point of contact for all staff with employment-related queries, providing timely, accurate advice, guidance and information that enables staff to take appropriate management or personal actions.

People Administrators ensure that more complex issues are escalated as appropriate and within defined parameters to the Employer Relations Advisors, People Service Team Leader, HRBPs and Payroll teams as appropriate. The role will be responsible for administration tasks relating to the end to end colleague journey, including recruitment and onboarding, contract changes, talent & development and leavers. As a result, the role holder operates across and supports the whole People Team.

Remote working from home - with opportunities to work from any of our current Hubs: Ellesmere Port, Burnley, Leeds, Hatton, Newark, Birmingham, Milton Keynes, Gloucester & London.

Knowledge, Skills/Qualifications & Experience

Key accountabilities:

  • Respond to incoming requests for guidance, advice and information from customers to ensure the delivery of high standards of customer service.
  • Maintain a good understanding of the Trust's systems, policies and processes to ensure the provision of relevant and accurate information to customers.
  • Refer cases that fall outside of the remit of the help desk to the most appropriate team to ensure the customer's needs are met.
  • Refer complex issues or queries that fall outside personal expertise to the Team Leader to enable customer service standards to be maintained.
  • Follow the Shared Service Centre systems, processes and procedures for the delivery of information and advice to ensure the maintenance of high standards of service, quality and legal compliance.
  • Review, check and input documentation and information received in People Services for accuracy and validate against agreed Trust policies and processes to ensure that employee records (ERP System & Files) are accurate and up to date.
  • Prepare documents in support of Trust people processes, for example, Recruitment, ensuring the highest levels of accuracy and customer service are maintained.
  • Monitor and administer DBS process in relation to new starter & existing colleague checks. Respond to requests from internal customers for information about employee records to ensure achievement of customer service standards, provided that such requests can be met under the terms of Data Protection Act and Freedom of Information Act.
  • Support the HR Business Partners by informing them of key activities being undertaken in their area, providing reports as agreed and aiding in the identification of emerging trends and issues and liaise with them in relation to administration for complex case management.
  • Undertake administration activity associated with the provision of the Trust's future talent programmes.
  • Make travel and accommodation bookings for colleagues on training programmes where required.
  • Maintain accurate learning records for all employees across the Trust.
  • Co-ordinate and administer Trusts development policies such as Open access to Learning an Educational Assistance.
  • Creating contracts, offer and welcome letter for new starters; Providing administrative support for induction of new colleagues; Providing administrative support for talent and development programmes.
  • Display the Trust's values and behaviours at all times • Ensure that diversity and inclusion are integrated into all aspects of Trust life and promote inclusion by challenging behaviour, practices, actions, or decisions that are counter to the objectives of the Trust's policies and values.

About you

Technical:

  • Experience performing HR administrative tasks in a HR admin (or similar) role.
  • IT literate with a good working knowledge of SAP, Applicant Tracking Systems, other Employee Record systems desirable and knowledge of Microsoft applications including Word, Excel and PowerPoint essential.
  • Previous experience within a customer focused or Shared Service HR administrative environment.
  • Working towards CIPD, beneficial.

  • Excellent prioritisation & planning skills and ability to manage multiple deliverables.
  • Excellent attention to detail and problem-solving skills within a defined framework.
  • Strong customer service mind-set.
  • Must be able to demonstrate strong focus on teamwork & collaboration.
