Our Real Estate team is looking for a PA to join them on a 12month fixed term contract. This is a great opportunity for a PA who is lookingto broaden their skills and knowledge. This role is based out of our central Bristoloffice with some homeworking too.
What you'll do
The main purpose of this role is to provide a highlyprofessional, effective and proactive PA support to a busy team of Fee Earnersof varying levels including two Partners. This is a busy and demanding rolewhich requires a very organised and proactive individual.
More specifically youwill be required to:
- Monitor and assist with management of mailboxes
- Pick up tasks and dictations from Bighand (Legal Dictation software) to include Preparing engrossments, Correspondence, Property searches, Land Registry searches and downloads, Account forms, Creating, amending and reformatting documents and Large File Sends (LFS)
- Play an active role in managing the billing process for key clients by working closely with our accounts team
- Create and manage data rooms, predominantly using HighQ
- Manage deeds including scheduling, storing, tracking and updating deed packets
- Proactively take responsibility for travel arrangements, conference bookings and meeting room bookings in advance
- Deal with enquiries from clients, colleagues and third parties and provide effective transfer of information
- Develop and maintain positive internal and external client and PA relationships
- Collate and process expenses including proactive management
- Proactively identify opportunities, actively contribute and be involved with ad-hoc projects as given by the team (and across OC)
- Work with the Senior PA - Resource Coordinator to continuously develop effective ways of working
- Provide ad hoc support for the PA team (covering for other PA absences)
- Assist with ad hoc IT queries and liaise with the IT team to resolve these queries, particularly for new joiners
