This is an exciting opportunity for an experienced PA to join a busy Corporate team that is growing from strength to strength. The practice sits within the Business Transactions Group.
This is a permanent position based out of our London office, that offers hybrid working.
What you'll do
The role requires a well organised and pro-active individual with a flexible, positive and can-do attitude, who can demonstrate a range of skills across technical excellence, and client service. More specifically you will:
- Provide highly professional, effective and proactive PA support to a number of fee earners across all levels.
- Assist with full diary management for the fee earners and diary commitments for the team, pre-empting and identifying any diary conflicts, and pro-actively helping to resolve these.
- Managing client files, ensuring accurate and up-to-date documentation
- Proactively take responsibility for travel arrangements, both domestic and international, conference bookings and meeting room bookings in advance, together with ensuring any meeting materials are prepared and delivered in a timely manner.
- Play an active role in managing the billing process by working closely with our accounts team and taking the lead on preparing financial reports for clients, the Partners, and the fee earning team.
- Establish robust and effective relationships with internal and external client and PA relationships, while adopting collaboration and inclusive behaviours in work approach.
- Deal with enquiries from clients, colleagues and third parties, understanding the context of the requests, managing expectations, and provide effective transfer of information.
- Monitor and assist with the management of mailboxes, and any filing of e-mails and documents.
- Document work involving a variety of amending, formatting as well as creating, understanding the role of the Central Services team to seek their support when appropriate.
- Assist with file opening/client due diligence process; set up new matters and draft engagement letters.
- Collate and process expenses including proactive management.
- Provide ad hoc support for the PA team (covering for other PA absences).
- Assist with any ad hoc IT queries, liaising with the IT team to resolve these queries, and help with the integration of new colleagues.
- Proactively identify opportunities, contribute to and be involved with ad-hoc projects as given by the team (and across OC).
- Actively contribute and enhance the firm's culture and focus on collaboration and sharing of knowledge.
- Take ownership of your development and understand the expectations of your role.
- Manage and take ownership of your workload effectively and ensure your work is accurate and delivered on time with appropriate urgency and focus. Keep internal and external clients up to date.
- Demonstrate flexibility and a positive attitude; adapt well to change.
- Comply with the firm's policies and complete all mandatory training.
