Events Manager

Role profile
We have an exciting opportunity for someone to join our Marketing and Sales team as an Events Manager. This is a permanent position, based out of our London office with some homeworking too.

The main purpose of this role is to provide end-to-end event management and advice across the firm's UK events programme, ensuring events are in line with the firm's strategic priorities and demonstrate maximum return on investment.

This role will report to the Senior Events Manager on the planning management and implementation of the firm's UK events strategy ensuring it is in line with the firm's strategic priorities and demonstrates maximum return on investment. It will also provide guidance and support to other Events professionals.

Key Responsibilities

Strategy and Planning

  • Following a review of the UK events strategy with the Senior Events Manager, ensure the highest level of engagement with the events programme by analysing and building on client and internal feedback.
  • Support with the coordination of team events and projects, provide guidance to colleagues and troubleshoot as necessary.
  • Seamless project management of allocated internal and external client-facing events (including conferences, seminars, virtual events, roundtables, dinners, exhibitions, corporate hospitality, third-party hosting, and networking events) from taking initial brief and agreeing objectives, budget, and targeted ROI through to on-site delivery, follow-up, feedback, debrief, and reporting on success.
  • Collaborate with key stakeholders to understand their objectives, challenging off-strategy activity and advising on alternatives to running an event where appropriate, and tailoring events to meet agreed goals. Lead with a client-focused mindset.
  • Engage in proactive stakeholder management by building strong, trust-based relationships with key stakeholders. Regularly communicate with them to ensure alignment and understanding of their needs and expectations. Manage their expectations throughout the events process by providing clear, consistent updates and addressing any concerns promptly. Foster a collaborative environment, encourage feedback, and continuously improve event planning and execution.
  • Maintain a strong understanding of the firm's strategy in order to prioritise event activity and question off-strategy activity.
  • Deputise for the Senior Events Manager on larger firm projects (Summer Party/International Partners' Conference).
  • Work with the Senior Events Manager to ensure that all relevant events are fully risk assessed with documentation in place.

People Management

  • Coach and mentor junior members of the team and support their career development and progression.
  • Support, guide, and advise junior members of the team on service delivery and technical skill.
  • Contribute to a positive, healthy, high performance culture.

Promote Best Practice and Drive Innovation

  • Promote best practice and drive efficiency through the use of technology and well-documented policies and processes, while bringing innovation to events programmes and challenging the status quo.
  • Maintain a network of quality suppliers, attend industry trade shows to stay abreast of new technologies/venues/entertainment ideas, sharing ideas and updates with the wider Events Team.

Manage Resources Efficiently and Effectively

  • Work with the Senior Events Manager to ensure optimal event scheduling (including advising on potential topic or audience conflicts) and resourcing.
  • Communicate all event requirements to internal and external stakeholders on a timely basis, including catering, facilities, document production, and the reception team, external venues, speakers, booking venues, travel, and accommodation.
  • Manage external supplier relationships and contracts, negotiating costs where relevant to ensure the best value for money.

Champion the Use of Technology

  • Manage event technology relationships (On24/Slido/Monday.com), stay abreast of industry changes and new software developments. Ensure internal process documents are up to date and the wider business is aware of any software upgrades or process changes.
  • Lead as an expert on webinars including software use and best practice. Guide, advise, and train internal and external stakeholders on software with confidence and authority. Troubleshoot issues and proactively drive forward solutions, managing stakeholder updates.
  • Harness technology to ensure efficiency and drive forward best practice on various software, including InterAction, Vuture, MS Teams.
  • Maintain a close relationship with Head of Operations on technology contracts.

Ensure Accurate and Timely Communications

  • Own and drive forward event communication plans, working with the Events Assistant / Digital Marketing & Data Assistant to ensure that all communications go out in a timely fashion, on brand, and having been through the necessary approvals, automating the send process where appropriate. Ensure that any relevant guidelines are followed when sending invites and drive forward best practice, for example GDPR.
    Data Analysis
  • Work with the Marketing, BD, and Digital Marketing & Data team to gather and report on event ROI, sharing and acting on insights.
  • Any other duties that may be required from time to time.

  • Maintains the highest level of confidentiality around sensitive information.
  • Excellent project management, time management, and organisation skills.
  • Demonstrated experience in delivering multiple events to the highest standard and within an agreed budget.
  • Demonstrated experience in collaborating with stakeholders at all levels to drive successful event outcomes / ROI.
  • Confident communication skills and ability to establish productive relationships with people at all levels.

Technical Requirements:

  • Experience of using CRM databases, ideally including InterAction.
  • Experience of using e-marketing software, ideally Vuture Vx.
  • Experience of using webinar software, ideally ON24.
  • Experience of using Microsoft Office Products - strong skills in Word, Excel, and PowerPoint.
