Job overview

The post holder will support the Dispensary Manager in the provision of all operational aspects of the dispensary service at King's College Hospital NHS Foundation Trust and will deputise as necessary in the management of the service.Aside from facilitating the rapid discharge of patients from hospital and to ensure that Pharmacy and the Trust meets its objectives with regards to TTA turnaround times; the post holder will also be responsible for facilitating workflow for in-patients, out-patients and controlled drug dispensing.This post holder will ensure that all dispensary staff work to a high standard in providing quality pharmacy services to patients and other Healthcare workers using the dispensary service at King's.

Main duties of the job

To organise and manage the provision of all dispensary-based services, including inpatients, outpatients, and controlled drugs to agreed performance targets with guidance and support from the dispensary manager.

Detailed job description and main responsibilities

People Management and Performance

  • Lead, coach and manage the performance of the team in line with good people management practices. Ensuring excellence is recognised and under performance is addressed.
  • To supervise staff and activities in the dispensary to ensure that all work in completed accurately, promptly and in order of priority. To address issues with individuals as they arise
  • To deliver a customer-focused service to all patients who attend the Dispensary.
  • To adhere to the highest principles of customer services when dealing with patients, staff and the public.
  • Promote pharmaceutical care for all patients.
  • Be able to check clinically screened dispensed prescriptions.
  • To provide specialized advice to patients/clients directly using the dispensary service which contributes to the education of patients/clients and provides adequate information in order for them to be able to use their medication safely and as prescribed using verbal and/or written information as necessary.
  • To participate in ward based activities as necessary, which may include discussing medication with patients and checking patients' drugs for suitability for use.
  • To investigate Pharmacy errors relating to the Dispensary and to suggest strategies to minimize or eliminate risk.
  • Participate in regular performance appraisal meetings and ensure each member of the team has a clear set of objectives and development plans.
  • Ensure the team is compliant with all statutory, mandatory training together with any professional training requirements, ensuring they are up to date and fully compliant.
  • Manage team absences including sickness in line with Trust policy ensuring the appropriate return to work meetings occur, e-roster is updated and productivity is at keep to the highest possible level.
  • Identify and fill any vacancies that arise within the team in line with the Trust's recruitment policy and process.
  • Identify talent and support the internal talent management process in order attract and retain and succession plan for your people.
  • Review skills mix at regular intervals in order to identify any potential opportunities to maximise resource utilisation / allocation, ensuring job descriptions are kept up to date.
  • To line manage staff, including allocated band 3 and band 5 dispensary staff.
  • Carry out regular 1:1 meetings and appraisals.
  • To understand, take responsibility and maintain all the following, according to Trust procedures:
  • Ensure overall wellbeing of the team is maintained. Continuously support in improving the morale of the team and implementing a culture of zero-tolerance for bullying and harassment.

Policy and Processes
• To be responsible for safe and secure management and delivery of controlled drugs within dispensary as per the legal requirements and standard operating procedures including maintaining weekly and monthly cycle counts, adjusting ward stock levels where appropriate, managing the introduction of new practice or drugs into the CD room. Understand the use of the Omnicell system and train staff as part of their induction
• To write and maintain a complete set of standard operating procedures for all areas of work within the dispensary and to participate in the production of clinical policies and procedures. This includes ensuring that SOPs are reviewed and up-to-date
• To be responsible for and manage the distribution of FP10 prescription pads, ensuring secure storage arrangements in the pharmacy and when in use throughout the hospital.
• To ensure that the dispensary satisfies all legislation and good practice recommendations relating to the safe storage and supply of medicines

Research and Service Development

  • To publish or present project work carried out in conjunction with colleagues.
  • To participate in research and audit undertaken in Pharmacy with regards to Pharmacy Patient Services.
  • To participate in other departmental audits and projects as required.
  • To provide regular activity and quality monitoring information to the Dispensary manager and to use this information to develop the service and improve and/or maintain a quality service

Education and Training
• To participate in the dispensary training of all pharmacy staff when necessary.
• To ensure that all staff have received appropriate training for the tasks that they are required to complete, including competency assessments.
• To participate in the dispensary training of all pharmacy staff when necessary.
• To train NVQ level 2 & 3 pharmacy services candidates.
• To monitor progress and review achievements of candidates, maintaining accurate records.
• To make judgments on evidence against national occupational standards and provide constructive feedback, guidance and support.
• Undertake and maintain CPD to ensure knowledge and skills are up-to date in occupational and assessor national standards
• To ensure that all tasks undertaken relating to NVQ are completed in a timely manner.
• To work as Educational Supervisor (ES) for candidates undertaking ACPT training as per the CPPE and departmental requirements
• To work as a Practice Supervisor (PS) to support Pre-Registration Pharmacy Technicians in their dispensary rotation, including carrying out observations and Multisource Feedback Forms.

Information Systems and Data Management
• To liaise with Pharmacy IT for EPIC password access, and other IT issues including raising tickets for Epic/label issues.

Communication and Representation
• To deal with complaints from patients, carers and hospital staff, taking appropriate action to remedy issues as they arise and report to the Dispensary manager.

General
• The post holder has a general duty of care for their own health, safety and wellbeing and that of work colleagues, visitors and patients within the hospital, in addition to any specific risk management or clinical governance accountabilities associated with this post.
