CCU/Cardiology ward is a 31 bedded cardiac ward at Basingstoke and North Hampshire hospital, part of Hampshire Hospitals NHS Foundation Trust.

We have an opening for a Ward Manager's Assistant, to provide comprehensive administrative services to the clinical matron to optimise their time to enable them to fulfil the clinical element of their role.

The post holder will provide a full secretarial and administrative service to optimise the time of the designated Managers by co-ordinating all diary commitments. The post holder will be expected to develop in-depth specialist knowledge of the team/service/division and the ability to provide detailed advice and information to whoever requests it. The role will require constant awareness of the work and key priorities of the division, dealing with highly confidential and sensitive matters.

Main duties of the job

We are looking for someone who can:

  • Provide administrative support for relevant members of staff to enable to efficient running of the ward including: Roster and staff support, Organisation of staff training and audit input
  • You will have knowledge of Microsoft word, Outlook, Excel and have a professional telephone manner

Training & Qualifications

Essential criteria

  • Level 4 NVQ or equivalent
  • Senior administration training or relevant experience
  • Recognised computer literacy course (e.g. ECDL) or equivalent experience

Desirable criteria

  • Professional PA/secretarial qualification
  • Project management training/qualification

Planning and Organisation

Essential criteria

  • Significant experience as a Management Assistant , some of which should be to very senior level executive
  • Experience of providing secretariat support to meetings (including formal minute writing, preparation of agenda etc
  • Supervisory or line management experience

Desirable criteria

  • Working within the NHS

Skills & Ability

Essential criteria

  • Planning and organisational skills
  • Ability to work effectively under pressure, meet deadlines and prioritise workload in a challenging and demanding environment
  • Effective interpersonal and communication skills (verbally, electronically and in writing)

Desirable criteria

  • Shorthand
  • Wider IT experience including Publisher, Projects and access databases
