DUTIES AND RESPONSIBILITIES

We are currently looking to recruit an experienced UK & I Facilities Manager on a permanent basis, based out of our Alton Office, with occasional travel to our offices located (Newcastle, Mansfield, Newmarket, London and Dublin).

You will be responsible for overseeing the Facilities and utilities operations of the multiple sites, your primary duties will include building maintenance, ensuring the safety and security of the offices, coordinating refurbishments and repairs, managing facilities budgets and liaising with contractors and suppliers. You will play a crucial role in ensuring the facilities are safe, efficient and well maintained, providing a conducive environment for our team members.

Our ideal candidate should be well-versed in facilities management processes and exhibits high multitasking and organisational abilities

As the Facilities Manager you will:

  • Maintenance and Repairs: Overseeing routine maintenance and repairs of the facility, including HVAC, plumbing, electrical systems, and structural elements.
  • Health and Safety and Compliance: Ensuring the facilities comply with health, safety, and environmental regulations. Staying updated with the latest developments in H&S.
  • Contract Management: To have experience in negotiating, vendor selection, review, compliance monitoring, renewals and terminations; with facilities service providers Ensure SLA and KPI's are in place with our vendors, to ensure agreed service levels are achieved and maintained.
  • Landlord Relationship - To manage a positive relationship with our landlords, to establish clear expectations regarding responsibilities and obligations with regular and transparent communications.
  • Budgeting: Managing the facilities operating budget, including forecasting costs and ensuring expenditures stay within budget.
  • Health and Safety - To develop, implement and maintain safety protocols and procedures .Ensuring the facilities comply with all relevant H&S legislation and standards.
  • Project Management: To have experience to coordinate renovations, refurbishments, and other facility-related projects.

QUALIFICATIONS AND EXPERIENCE

The ideal Facility Manager :

  • Experience: Proven experience in a facilities management role with management of multiple sites of at least 5+ years.
  • Technical Knowledge: An understanding of building systems, maintenance procedures, and safety regulations.
  • Budget Management - An understanding of budget management, has experience with annual budget planning and forecasting, expense tracking & cost reduction
  • Organizational Skills: Strong organizational and multitasking abilities, be proactive, use initiative and manage your own workload
  • Communication Skills: Excellent verbal and written communication skills, and proficient in word, excel, PowerPoint and outlook
  • Problem-Solving: Ability to troubleshoot and resolve issues efficiently and think out of the box.
  • Leadership: Strong leadership and team management skills.
  • Education: relevant professional Facilities certification can be an advantage
  • Auditing - have knowledge and experience with conducting audits and risk assessments
