Training Events Specialist (12 month contract)

We are currently recruiting for a Training Events Specialist to join our Training Events team in the London office on a 12 month contract basis.

This advisor level role is an integral role within our in-house Talent and Development team responsible for the delivery of over 200 training programmes annually. The training programmes are provided for all levels of fee earner as well as business teams.

The post-holder will be responsible for the workflow of TE administration and logistical support to ensure all programmes are delivered to the highest standard globally, in addition the specialist will be responsible for a number of key programmes throughout the calendar year. The TE Specialist will provide operational support for the 8 direct reports across both Belfast and London and globally as well as being a super user of the Learning Management System. The team provide an exemplary service to the business working closely with HR Managers and Talent and Development Managers to ensure we continue to be the best in class, regarding our learning and development opportunities for all staff across the firm.

To be successful the post-holder will require an ability to work and collaborate with a range of stakeholders across the global firm and to influence discussions on the planning and delivery of the Talent and Development strategy. Through consistent demonstration of excellent client facing and delivery skills the post-holder will raise the level of autonomy within the TE team. This will require agility, resilience, excellent organisational skills and an ability to think and manage tasks independently.
ROLE & RESPONSIBILITIES
To be successful in the role the post holder will be experienced in driving a team towards an end goal, be able to adapt efficiently with a focus on delivering service excellence.

The job will include, but not be limited to:

  • Arrange all pre and post logistics for a number of different training events both virtually and in person for global attendees including complex programs for senior leadership.
  • First point of contact for TE Co-ordinator in London and key person for escalation and mobilization of in-person programs in London office.
  • Responsible for London office program activities including but not limited to stationary orders, couriering materials and on-site responsibilities.
  • Act as a point of escalation in the TE Ops Manager's absence in respect of queries for the team both internally with focus on global co-ordinator's and in respect of relevant external training providers
  • Accountable to the TE Operations Manager to ensure programme workflow is accurate for the team, with a key focus on driving consistency and ways of working for regional programs.
  • Accountable for the swift resolution of issues/escalations, ensuring that a response is provided to the TE Ops Manager as quickly as possible, to find the appropriate solution and implement any identified process improvement to ensure that the issue does not recur.
  • Support the TE Ops Manager and Specialist in Belfast the recruitment, training and performance management of the TE team and be accountable for the induction and training of new joiners to the TE team, ensuring that individuals have been fully trained on processes and are supported to succeed, undertaking on the job coaching on training needs identified
  • Responsible for the production of data and MI for the TE team and T&D on a regular basis to enable reporting on the efficient and accurate.
  • Responsible for ensuring that all processes are captured in a detailed and accurate manner with up-to-date work instructions in the TE manual and project plans. The Specialist will be accountable for keeping process guides up to date and for scheduling reviews within the team on a regular basis.
  • To actively implement process improvements across the TE team, once these have been agreed with the TE Ops Manager and T&D team to achieve service enhancements and efficiencies
  • To undertake the role of an LMS 'super user', ensuring that you have a detailed and comprehensive understanding of the LMS system and the knowledge to undertake training as needed on a global basis.
  • Work collaboratively with the TE Ops Manager and Specialist in Belfast to produce forecast and budget summaries for all programmes
  • Willingness for Global travel to A&O Shearman offices and offsite to support a business need
  • To undertake any ad-hoc projects and related work identified to a high standard.

KEY REQUIREMENTS
Key Skills and Experience

  • Proven and demonstratable experience in planning and running global events virtually and on-site for professional services although other sectors would be considered
  • Proven experience of training team members and working closely with team members on a global scale
  • Experience of managing administration and logistical support within a complex matrix and detail orientated environment, ideally within professional services, although other sectors will be considered
  • Subject matter expert in relation to the processes that support training events activity within the firm.
  • Demonstrable experience of multi-tasking and flexibility when managing large volumes of complex programmes
  • Strong resilience skills in an ever-evolving environment
  • Strong relationship management skills with the ability to influence internally at all levels and demonstrate a collaborative approach
  • Excellent attention to detail, with highly developed organizational skills and the ability to cope under pressure
  • Excellent communication skills with the ability to work with and influence senior members of the firm including partners
  • Possess a high degree of initiative and independent judgement with strong decision-making skills
  • Experience of leading and managing projects around process improvement and innovation demonstrating a continuous improvement mindset
  • Ability to establish oneself as a trusted advisor within the TE team and support members of the team as and when appropriate
  • Excellent IT skills especially Excel and Powerpoint and experience in virtual based platforms such as Webex, Zoom and MSTeams

Desirable:

  • Previous professional services experience would be an advantage
  • Degree qualified or equivalent
  • CIPD membership
  • Previous experience of working with a Learning Management System in particular Docebo
