Description

We're looking for an organised and proactive Traffic & Resource Manager to keep our projects running smoothly from start to finish. Acting as the central hub for all incoming work, you'll balance team capacity, manage schedules, source freelance talent, and keep budgets on track - all while ensuring clear communication across creative, strategy, and client service teams.

Responsibilities

  • Workflow Management: Serve as the primary point of contact for all incoming project requests. Triage, prioritise and assign tasks to the appropriate creative, strategy and planning resources.
  • Resource Allocation: Manage the daily and weekly schedules of the creative and strategy teams. Monitor team workloads and anticipate future needs to prevent bottlenecks and under utilisation.
  • Freelance Sourcing & Booking: Identify, vet, and book external freelance talent to supplement in-house resources, ensuring they are a good fit for the project and agency culture.
  • Budget Management: Track and manage project budgets, specifically for freelance and external resources, ensuring all costs are approved and stay within project scope. Monitor project resource budgets challenging resource requests that fall outside of budget.
  • Project Scheduling: Develop and maintain detailed project timelines and schedules. Proactively track project progress, identify potential delays, and troubleshoot issues to keep projects on track.
  • Communication & Coordination: Facilitate clear and consistent communication between client services, creative and strategy teams. Lead regular traffic meetings to review project statuses and address challenges.
  • Process Optimization: Continuously evaluate and improve our project management processes. Implement best practices and new tools to increase efficiency and collaboration.
  • Risk Management: Identify potential resource conflicts or project risks early on and work with department leads to find solutions.
  • System Maintenance: Oversee the agency's project management software (Synergist), ensuring all project information is accurate, up-to-date, and accessible.

Skills and Experience

  • Experience: 3-5 years of experience in a traffic, project management or resource management role within a creative agency or similar fast-paced environment.
  • Knowledge: A strong understanding of the creative and strategic development process, from brief to final delivery.
  • Organisational Skills: Exceptional organisational and time management skills with a keen eye for detail.
  • Financial Acumen: Experience with budget tracking and an understanding of project financial management.
  • Communication: Excellent verbal and written communication skills. You must be able to communicate effectively with diverse personalities and at all levels of the organisation.
  • Proactiveness: A "can-do" attitude and the ability to anticipate needs and solve problems before they arise.
  • Tech Savvy: Proficiency with project management, workflow and MS office software.
  • Flexibility: The ability to thrive in a dynamic environment and adapt to changing priorities.
