This role will be a combination of trademark administration as well as day-to-day PA support for the General Counsel, Intellectual Property (IP) and periodic PA support for other members of the Global IP team.
Responsibilities:
- Proactively manage the diary of the General Counsel, IP to maximise their effectiveness: Understand where heavy workload may occur and therefore allow planning time to ensure high quality prep work prior to meetings.
- Travel - organise and arrange travel itineraries for members of the IP team, locally and overseas, ensuring the most cost effective and optimal use of time. Prepare monthly expense reports.
- Help organise team meetings and team outings/celebrations.
- Open Purchase Orders, as needed.
- Work with the Legal Invoice Support Team and assist with setting up new records and IP vendors in our online billing system, Busylamp.
- Upload documents to our Contract Management portal.
- Manage and co-ordinate all other ad-hoc administrative tasks as appropriate.
- Assist IP team with document signing, notarization and/or legalization in connection with trademark and other IP related matters. Arrange for delivery of documents.
- Request and maintain authorizing powers of attorney for certain members of the IP team on behalf of various Diageo brand owning companies.
- Complete and submit various trade mark and design forms/documents with different Trademark Offices.
- Assist with the protection of our trademark portfolio through support of our trademark management system, Anaqua, including, auditing and updating records, assisting with global renewals, corresponding with the business and external agents for required information, liaising with Anaqua Docketing and Renewal Services on upcoming deadlines, updating renewals spreadsheets, supporting change of address/change of name projects, etc.
Experience / skills required:
- Prior experience in a similar role, ideally having managed multiple senior individuals, and/or in a fast-paced, complex environment.
- Prior experience in, or interest in learning, trademark administration skills, including trademark database management, overseeing basic trademark administration, such as reviewing records, completing filings, assisting on renewals.
- Excellent interpersonal and communication skills (written and verbal).
- Impeccable integrity - the role will entail access to highly sensitive information, which will need to be treated with the utmost confidentiality.
- Good attention to detail.
- Problem solving skills, resourceful and able to use own initiative.
- Excellent team player.
- Advanced working knowledge of a variety of PC packages/applications.
- Balances multiple tasks at the same time with agility.
- Handles the challenges of changing and contending priorities and ensures that activities of self and (to the extent its possible) others are completed within agreed time constraints.
- Strong organisational and administration capability.
- Proactive and able to work effectively without supervision.
