We're hiring for a Technical Services Manager to join our Workplace Experience (Facilities) Team at our 10 Triton Street office.
Purpose of the Role
As Technical Services Manager you'll play an integral role ensuring our office and services are fit for purpose, sustainable, innovative, compliant and cost-effective. You'll implement and maintain effective management systems and procedures in the delivery and continuity of Hard FM services, contributing to the management and continuous improvement of health, safety and wellbeing in our workplace. You'll be responsible for the contract management of Hard FM contractor and associated contractors and being the primary contact for Hard FM provider's on-site maintenance team.
You'll have management of our CAFM system including our service desk and accident & incident reporting system - ensuring all calls/job tasks (pro/re-active (including PPM)) are allocated response times on a risk/business criticality basis ensuring high risk, business critical and emergency situations are suitably managed; work orders are allocated to relevant responsible person, maintenance team and/or supply chain; and liaison with relevant internal responsible person, maintenance team and/or supply chain to ensure all jobs are completed to a high standard, through to invoice payment.
Key Responsibilities
- Organise and attend weekly meetings with Hard FM account team to review PPM & reactive work pipelines, SLA's, KPI's, budget impact, plus coordination of works to enable financial and operational efficiencies, reporting and documenting risks to the Workplace Experience & Facilities Manager for further action.
- Ensure all contractors comply with all current legislation and engineering standards and that all RAMS are obtained and reviewed for accuracy and in accordance with our policies and work permits are issued in advance of works.
- Monitor, analyse & interpret the correct functioning of plant and systems with our on-site maintenance team and building management system (BMS) to ensure we are operating the building efficiently.
- Full ownership and accountability of the annual electrical shutdown works including reviewing contractor's proposals to minimize risk and ensure an optimum level of service is maintained.
- Main point of contact with Marsh (Insurers) to arrange our engineering inspections & renewals as per our plant schedule, ensuring all statutory inspections are carried out by the due date and reported in line with regulations.
- Accountable for our access control & CCTV systems, ensuring they are fully compliant, operational, and maintained as well as managing our utility contracts with our WX Co-ordinator, ensuring the accuracy of our meters, usage & the overall energy performance of our building.
- Maintaining records within the local accredited Management systems for H&S ISO:45001; Environment ISO:14001/ISO:50001 & Security ISO:27001. Ensuring all statutory inspections are carried out by the due date and reported in line with regulations - ACoP L8, LOLER (Lifting Operations and Lifting Equipment 1998), RIDDOR reporting etc.
Qualifications + Skills
- Proven delivery and management of large building hard Facilities Management (FM) operations with a strong technical understanding of hard FM operations.
- Experience using CAFM systems including data & analytics reporting to ensure service is delivered in accordance with contractual obligations and outstanding service performance.
- Demonstrable track record of managing ISO compliancy.
- Pragmatic with a results-driven and focussed mindset - being accountable for the delivery of, and for holding supply partners accountable for their delivery.
- Experience working with a proactive mindset and collaborative approach as part of a wider Workplace team.
- Strong stakeholder engagement, confident in building relationships internally and externally, with a high level of communication skills.
- Strong commercial awareness and budgetary management with the ability to innovate and consider improved ways of working.
