Role Purpose
The purpose of this role is to drive, coordinate, and assure the governance, operation, and strategy of the Procurement and Property management department on behalf of the Head of Procurement and Property Management.
You will be responsible for a team of 8 individuals within the Strategy & Performance team covering key capabilities such as: -
- Procurement policy and procedure, including alignment with Allianz Group policy
- Procurement and outsourcing assurance, including alignment with Allianz Group policy and external regulation
- Procurement systems, data, and management information (MI) - Property management governance, including local and global strategy alignment, business engagement, and assurance
- Property management systems, data, and management information (MI)
- Combined Procurement and Property Management L&D and communications.
Role level Professional (Expert)
- Work is primarily achieved through a combination of individual and team efforts (incl. through project teams), combining a foundation technical knowledge of Procurement & Property with advanced project and people management skills.
- Requires the application of project and people management techniques and expertise in professional area(s) to achieve results.
- Progression within the Career Band reflects increasing depth of professional knowledge, project and people management capabilities, and the ability to influence and work with stakeholders at senior levels.
Key Accountabilities
- Work with the Head of Procurement & Property Management to define and drive the strategy, governance and enablement framework that is deployed across Procurement and Property Management.
- Work with the Head of Procurement & Property (and for Property Management, the Head of Property & Workspace Services) to support with day-to-day planning and coordination across procurement and property teams, managing a strategic pipeline of initiatives.
- Deputising for the Head of Procurement & Property Management in Executive Committees, Risk Forums, or project/programme steering committees.
- Oversight and management of the Procurement budget, including strategic planning, yearly and half yearly budget cycles, and day-to-day expense management.
- In line with the strategic pipeline, manage and direct a team consisting of:
1. Strategy & Governance Senior Officers
2. Risk, Assurance, and Enablement Senior & Junior Officers
3. Systems, Automation & MI Senior & Junior Officers
4. L&D Senior Officers - Work closely with key stakeholders (including C-Suite) in the business to understand strategic objectives and impact on Procurement and Property.
- Lead on the collation, development and presentation of the overall Procurement and Property performance data and reporting, including the collation of core data, KPIs, and progress against key initiatives.
- Support with the development of presentation material, reports and other documentation to ensure Head of Procurement & Property (and for Property, the Head of PWS) has relevant documents for key meetings, and to feed into wider functional reporting.
- Responsible for key function documentation and practices including policies and standards, IRCS key controls, department audits, savings tracking, and outsourcing log, providing updates as required.
- Support with the development and distribution of communications from the Head of Procurement & Property, as well as with any wider Change initiatives
Skills & Capabilities
- Strong time management, organisation and planning skills - Essential
- Experience managing a team of SME's at Junior and Midweight level - Essential
- Experience working in a Procurement or Property function or in teams that closely support these functions - Essential
- Excellent stakeholder management and general relationship skills - Essential
- Analytical skills and experience in performance management and reporting - Essential
- Proven ability to work across multiple activities and prioritise effectively - Essential
- Experience of writing and monitoring compliance of policies and processes - Essential
- Previous experience in PMO / Governance role - Desirable
- Experience working in or supporting transformation programmes - Desirable
- Business management or strategy related degree - Desirable
