The Role
Our role might be your opportunity to excel in the dynamic world of Recruitment Administration. Are you interested?
As a Recruitment Administration Specialist, you will play a key role in supporting the Front Office Recruitment team, ensuring the smooth and efficient delivery of end-to-end recruitment operations. Your responsibilities will include managing the Applicant Tracking System and candidate databases, coordinating interview scheduling requests, and overseeing the onsite management of external candidates.
In addition, you will support executive compensation valuations and assist with the preparation and issuance of offer letters, ensuring accuracy, compliance, and high-quality candidate experience throughout the hiring process. The role also involves regular communication with candidates and key stakeholders across the recruitment lifecycle, including supporting candidates through onboarding and tracking progress through to point of hire. You will provide comprehensive administrative support to Front Office recruiters, contributing to the effective and professional delivery of recruitment activity.
Key Accountabilities
What you'll be doing:
- Oversee account-specific administration activities for the following scope of services: interview scheduling, pre-employment screening, offer management, invoice administration, applicant tracking system updates, requisition management and candidate care/onboarding,
- Managing various ad-hoc administration activities to support the effective running of the recruitment process e.g., updating process documentation
- Building and maintaining strong working relationships between all parties including recruiters, hiring managers, external vendors, and other account stakeholders
- Welcoming candidates on arrival, ensuring a positive first impression, and escorting them to their designated interview rooms while providing friendly and professional support throughout the process
Skills & Requirements
You'll need to demonstrate:
- Familiarity with recruitment systems and technology.
- Previous Financial Services or Professional Services desirable
- Experience in planning, executing, and monitoring projects.
- Demonstrated ability to manage complex interview scheduling, ensuring seamless coordination between candidates, hiring managers, and interview panels
- Strong written and oral English communication skills, able to convey ideas clearly, professionally, and engagingly.
- Working knowledge of Outlook, Word, and Excel.
- Ability to communicate persuasively, negotiate effectively, and influence others positively.
- Strong ability to organize tasks, manage conflicting priorities, and work efficiently in a demanding environment.
- High level of accuracy and precision in all work.
