About the role

This is an exciting opportunity for a Speaker and Events Manager with a passion for climate action to join a dynamic and ambitious team. You will be responsible for overseeing the efficient registration and briefing of high-profile speakers and delegates. Additionally, you will manage the invitation process for roundtables to ensure a smooth experience for all participants.

Leading a team of two Speaker and Event Officers, you will drive timelines, logistics, and cross-organisational coordination to ensure flawless execution of all sessions at Climate Week NYC. Acting as a key point of contact for both internal teams and external stakeholders, offers an exciting opportunity to contribute to globally influential climate events and work alongside leaders driving meaningful climate action.

Reporting to the Senior Manager, Content, with coaching and daily supervision from the Content Manager you will be well supported to play a critical role in ensuring that our events help drive Climate Group's mission, bringing together the world's most influential people to tackle climate change. There is potential to extend the contract for six weeks to work on COP30 though this is dependent on the scale of our activities on the ground.

Key responsibilities will include:

Project Management and Team Support:

  • Maintain effective and regular communication and act as a key stakeholder and communicator detailing progress on speaker registration and delegate invitation progress with the Content Team and wider project management team
  • Own and manage timelines for speaker registration and delegate invitation outreach and support your team to exceed expectations
  • Identify opportunities to improve current processes and create efficiencies in your work and the tasks allocated to your team
  • Take ownership of work, seek to solve problems and work SMART to achieve your goals

Speaker Support

  • Manage the end-to-end registration process for speakers, ensuring accurate data collection and efficient onboarding
  • Schedule and facilitate speaker briefing calls, providing key event details, session objectives, and audience insights to ensure they are well-prepared
  • Serve as the primary contact for speakers, delivering clear, timely and accurate logistical information, including event schedules, venue details, and technical requirements

Delegate Outreach and Support

  • Manage delegate invitations for roundtables, ensuring a targeted and strategic outreach to key stakeholders
  • Oversee attendee communications, providing clear and timely logistical information to ensure a seamless event experience
  • Coordinate invitation processes in alignment with event partners and sponsors, ensuring consistency with event objectives and audience priorities
  • Maintain accurate records of delegate responses, tracking attendance and managing follow-ups as needed
  • Ensure your team acts as the main point of contact for roundtable attendees, addressing queries and providing support before and during the event

During and Post Event

  • Support the Senior Manager, Content and Content Managers by answering key speaker queries whilst they are on the ground at Climate Week NYC
  • Following the event, send out bespoke speaker and delegate emails to thank them for their participation and include key links to available photos and session recordings
  • Manage the production of an internal 'mini report' on the success of each session measured against sponsorship targets, attendee numbers, virtual viewership and EDI balance.

About you

Essential:

  • Experience in stakeholder management with the ability to effectively influence and provide constructive challenge when required
  • High appreciation of commercial and financial drivers for businesses and NGOs
  • Excellent interpersonal and communication skills, with the ability to build effective working relationships across a range of cultures, levels of seniority and geographies
  • Motivated, professional, and diplomatic demeanour
  • Commitment to the mission of the Climate Group and having a strong understanding of our areas of work
  • An engaging team player with the ability to identify where support is needed and 'fill in' with time-sensitive suggestions as well balance strategic planning

Desirable:

  • Proven conference production experience
  • Demonstrate a deep and detailed knowledge and understanding of climate issues, with reference to corporate sustainability issues and subnational climate commitments
  • Bachelor's degree or equivalent experience
  • Experience working for an NGO or charity

Based in our London office, near the iconic Tower Bridge, you'll enjoy a flexible hybrid working arrangement - three days in the office, two days from home each week.

The salary offered is £36,420- £38,559 per annum, based on experience.
