Job Description
What will you be doing?
We're seeking a talented Serviced Office Property Manager to join our team. This is a diverse role, responsible for regional facilities management and the property management side, and offers scope to support the Head of Property with a variety of projects and travel to all of our 25 office locations.
You will provide Property & Facilities Management across the estate focusing on operational management of all serviced offices ensuring that the facilities services being provided by the landlord or directly within Evelyn Partners are in line with expectations.
You will ensure relationship management with landlords, third parties and stakeholders, attending tenant meetings and aligning all activities through the help centre so that there is fully tracked process that aligns to either general help or one-off delivery.
A proactive approach is necessary to ensure delivery of the business and stakeholder requirements and any issues are swiftly and effectively resolved.
As Serviced Office Property Manager, your responsibilities will include among others
• Acting as the main point of contact and management for day-to-day operations relating to all serviced offices across Evelyn Partners portfolio
• Ensure the serviced office provider is adhering to provision of the services as per the contractual arrangements and the standards are being maintained at all times
• Visit each office on a minimum 6 monthly basis; duties to include meeting with key stakeholder and serviced office providers and identifying any areas for improvement or issues that requiring remediation
• Manage and review all helpdesk requests relating to serviced offices to ensure all facilities services operate in accordance with agreed SLAs, and that tickets are actively closed out by the appropriate service provider and comms are effectively fed back to the stakeholders. Unresolved or ongoing issues should be escalated to the Head of Property
• Attend regular tenant meetings and monitor service charge spend on a quarterly basis, working with landlords to ensure costs are effectively controlled and ensure service charge budgets and reconciliations are received in a timely manner and variances are reported to Head of Property
• There is scope within the role to assist the Head of Property:
- Research for future property moves
- Assisting with the due diligence process for mergers and acquisitions
- Assist with the project team on handover from integration to BAU
Qualifications
Skills and Experience
To be successful in this role, you should
• Previous experience with general Facilities management, commercial and corporate real estate is essential
• Demonstrable experience of contract management, with a good understanding of service charges and managing service charge budgets
• Experience of helpdesk management and project management
• Experience of Health, Safety and Environmental Legislation within the workplace
• Excellent communicator with internal and external stakeholders, sympathetic to frustrations facilities issues can cause and a can do attitude able to assist with a range of issues
• Teamwork, leadership skills and line management experience
