The Role
The role holder will support in driving Workplace Services and Facilities Management operations in the UK & ROI. The role will support the firm by leading on the delivery of exceptional customer centric operational services to the core business through the effective management of the Clyde and Co team and third-party FM and Workplace suppliers. They will be required to maintain key relationships with suppliers and work with the Head of Workplace operations in relation to contract renewal / re-tendering.
The role will develop and drive the continual delivery of a market leading workplace experience and FM delivery across our 14 UK and ROI office locations whilst ensuring locations that are not in use are appropriately maintained and secured. The role holder will support in managing both Workplace Services and Facilities Management budgets and will be expected to drive efficiencies via the amalgamation and streaming of services across the whole estate.
Collaboration and communication with all areas of the business are key to the role to ensure the continued development of the team and exceptional service delivery alongside a keen sense of team and cooperative attitude.
In addition, the successful candidate will be expected to lead on the operational rollout of the transformation plans for the Workplace Services and Facilities Management functions. They will also be expected to manage implantation of self-service technologies to improve efficiency and reduce manual ways of working. It is also essential that the role-holder supports initiatives and actions relating to the Firm's net zero targets, as well as the wider sustainability agenda.
Key Responsibilities
- To provide leadership and direction to the Facilities and Workplace teams to ensure the delivery of a consistent first-class service that is aligned to Clyde & Co's internal and external customer requirements and to provide strategic input to the ever-changing requirements of our stakeholders and clients.
- Drive Workplace Services and Facilities Management operations, initiatives, and experiences in line with the firm's values.
- Help manage departmental budgets for both teams and take responsibility for driving logistical efficiencies.
- Work to develop a set of KPI's for the services, ensuring that these are socialized and understood by stakeholders
- Oversee the provision all hard and soft FM services including but not limited to cleaning, catering, planting, print and post, Front of House, Switchboard, security, and the maintenance of mechanical and electrical assets.
- Be the focal point for dealing with Landlords of Clyde & Co leased property and their managing agents along with being the main point of contact for any tenants or prospective tenants of Clyde & Co including ensuring that invoices are raised for rent and service charges when and if appropriate.
- Lead the Facilities and Workplace Management teams and provide direction to enable them to lead, innovate and implement change through effective processes.
- Work with the Head of Workplace Operations to ensure that robust SLAs (Service Level Agreements) are developed around the services delivered
- Ensure all SLAs are adhered to and regularly review and provide recommendations to the Head of Workplace for on-going improvement and deliver monthly operational reports.
- Manage the delivery of projects within agreed budgets and timelines.
- Collaborate effectively with relevant stakeholders for efficient project delivery.
- Develop and maintain regular contact with the heads of office and other key stakeholders as required.
- Demonstrate a clear understanding of the wider business, the impact Workplace Services and Facilities Management has in achieving the firm's wider financial goals, and how to motivate the team to understand this and deliver exceptional outcomes.
- Support on supplier management and drive regular re-tender opportunities where commercially beneficial.
- Maintain high performance culture within the Workplace Services and Facilities Management teams, and lead on performance management where appropriate.
- Review and define Workplace and FM operations in line with changing business needs and priorities.
- Develop and maintain strong and positive partnerships with key third party suppliers.
- Work closely with the Head of Health, Safety, Security & Environment to ensure compliance with appropriate standards, operational requirements, health, safety, environmental and other statutory legislation.
- Take the lead in dealing with reactive situations and manage incident reports, as necessary.
- Keep the Head of Workplace appraised of national developments (strategic and operational), challenges and forthcoming plans.
- Build relationships with global counterparts and share know how and best practice.
Essential Skills & Experience
- Market-leading track record of implementing and maintaining exceptional service delivery, as well as managing suppliers.
- Significant leadership experience of both the Workplace Services and Facilities Management functions.
- Extensive experience of managing large budgets.
- Experience of navigating complex issues.
- Leadership experience, gained through leading and managing a professionally qualified team.
- Strong track record of managing performance and able to demonstrate how they have Implemented and maintained high performance cultures.
- Experience of developing and delivering significant programs of change.
- A track record ofmanaging, delivering and improving the full suite of hard and soft serviceswithin a corporate office environment.
- Excellent customer service skills, with experience of delivering a 5 Star service
- Excellent stakeholder management skills, with the ability to forge partnerships with sub-contractors and customers alike.
- Strong communication skills, with the ability to manage and motivate diverse teams across a number of key corporate office locations.
- Solid Commercial Acumen, and the ability to manage complex budgets and costs.
- Experience of working with and meeting environmental/net zero key performance indicators.
- Ability to work collaboratively with a wide range of stakeholders, to co-create solutions and lead on the delivery of initiatives.
- Ability to work at the most senior level and gain the confidence of other leaders by establishing excellent relationships and building credibility.
- Strong facilitation, analytic and communication skills.
