The Position:

We are seeking a PA/Office Manager to support our CEO and manage our Glasgow and Gloucester offices. In this role you will handle diary management duties for our remotely working CEO while ensuring our offices, particularly the Glasgow location-our Engineering Centre of Excellence-operate flawlessly. Your responsibilities will extend to adhoc support of a senior management team that spends time at the Glasgow office, and general administration support, making every day different and dynamic.

You will thrive in this role if you are highly adaptable, can manage multiple priorities, and possess exceptional communication skills. Based in Glasgow, this position offers a hybrid work arrangement, requiring a minimum of three days on-site and two days working from home. This opportunity is ideal for a proactive individual eager to contribute to and grow within a leading technology company, ensuring both operational efficiency and strategic support across the board.

Key Responsibilities:

PA:

  • Provide direct support to the CEO effective use of their time by planning and managing their schedules through diary management.
  • Processing the CEO's expenses in line with the company policy.
  • Co-ordinate internal and external meetings for the executive team when required.
  • Liaise with clients and business guests.

Office Manager

  • Liaise with building management to ensure H&S standards are adhered, and workplace occupancy management.
  • Implement and update of procedures and processes to ensure all necessary documentation is produced and compliant with ISO standards.
  • Act as H&SE administrator.
  • Implement and maintain a clear desk policy & ensure high standard of housekeeping are held.
  • Liaise with facility management vendors, including cleaning, catering and security services.
  • Manage the WeWork account.
  • Carry out office management tasks such postal and courier requirements, stationary orders, coffee, tea, office passes, monitor office expenditure.
  • Support the Engineering team with onsite events such as retrospectives, demonstrations etc.
  • Arranging Engineering and company and socials events. Where required booking group travel and group meetings.

Key Responsibilities:

  • A minimum of two years, supporting a CEO in a dynamic fast-paced environment
  • A background in a quick paced organization with multiple international geographical locations.
  • Highly skilled in MS office.
  • Exceptional organizational skills and managing conflicting priorities.
  • The ability to work independently and work under pressure at times to handle a wide range of activities.
  • Maintain complete confidentiality on all business matters.
  • An upbeat professional demeanor, while being tenacious and focused.
  • Reliable, trustworthy and ethical attitude at all times.
  • Exceptional verbal and written communication skills.
