The department
Birketts is looking to recruit a full time Senior Records Management Assistant to support the Records Manager with the management, administration and archiving functions of the firm. The role will assist with the day-to-day management of physical data across Birketts to ensure compliance with the relevant legislation and take responsibility for maintaining and arranging appropriate access to archives in liaison with colleagues - including managing and auditing the firm's data and physical records.
Accountabilities
The responsibilities of the Senior Records Manager will include but not limited to:

  • Dealing with the storage of all documents handled by the firm, including Deeds, Files, Wills, Probates and Securities, in a professional and confidential manner.
  • Liaising with other areas of the firm in delivering/ collecting of documents and dealing with enquiries.
  • Assist with maintaining the electronic databases.
  • Assist with ongoing data cleansing and other related projects.
  • Liaising with the storage company and staff in all offices.
  • Supporting the Records Manager and managing the team and the department in their absence.

The candidate
We are looking for a candidate who has excellent attention to detail with strong organisational skills. You should have a good knowledge of Excel based programmes and be able to communicate effectively and build and maintain good working relationships with colleagues and external contractors.

You will have experience in managing a team and be able to work independently and without supervision. In addition, the suitable candidate should be able to deal with confidential and sensitive information.

The role can be physical, and they will be requirement to lift and move files and boxes. Previous experience in a similar role is preferred and training will be provided.

The role is predominately based out of our Ipswich office, but there will be a requirement from time to time to visit offices at all our locations.
