Role

The thing this role will have more than anything is variety. We run exhibition projects big and small around the world including the USA, and each one has a heap of moving parts - designers, suppliers, venues, budgets, clients, deadlines and more... it will not be boring.

We'll need your expert project management skills to help us maximise profitability and deliver flawlessly for our clients across a range of projects.

Reporting to the Project Director, you'll have responsibility for entire projects, continually managing client expectations in line with budgets and timeframes, allocating resources where they're most keenly required, and keeping a steady hand on the wheel to ensure everything is booked, built, and delivered on time. There is potential for this role to take on line management of Project Coordinators too.

About you

You'll be able to tell us about your previous project management success, ideally in the exhibitions industry - and this will include client, stakeholder, and supplier management. Being comfortable working in different countries, especially the USA will be crucial.

Being organised, for you, is a way of life. You are hyper-organised, enough to keep multiple plates spinning on multiple projects at the same time. There'll be international travel, so you'll be comfortable getting on a plane and discovering new places.

You'll have great communications skills, written, spoken, and presented, and you'll be comfortable getting tough if you see things slipping.

Key responsibilities

• Proficiently manage the project lifecycle of large or complex projects in line with key project timings and internal processes, such as: briefing/managing design, procuring suppliers, completing costings, managing specifications and finishes etc. as necessary to produce high quality and professional delivery.
• Review all technical drawings and service layout plans to ensure that production and delivery are in line with client expectations, agreed specifications and budget.
• Sourcing, managing and reviewing suppliers.
• Pre-empting and appropriately managing project risk.
• Liaising with show organisers and venues to ensure that rules and regulations are adhered to, build plans and drawings are approved and that all show required show services are booked on time.
• Ongoing management of client relationships and expectations in line with their budget and timeframes, developing a strong rapport and effective communication style.
• Work in collaboration with the wider team and Project Director to determine which projects will require onsite supervision and which need onsite account handling to maximise profitability, client retention and new business opportunities.
• Effectively manage and monitor all project elements in line with the company's ISO accreditations. Including following internal processes relating to ways of working and documentation.
• Provide the most efficient and profitable delivery mechanism for the business whilst still aligning with the client's quality and budget requirements.
• Manage and take responsibility for all project financials, including forecasting, cost monitoring, invoicing, raising PO's and liaising with our internal finance team to manage payments.
• Work with the new business team and creative team on prospective and new projects and opportunities to produce competitive, high quality proposals and on occasion presenting these proposals to clients, sometimes in pitch scenarios.
• Develop a broad understanding of the wider Bray Leino Events offer, with a view to developing and strengthening client relationships and opportunities that may exist.
What will I need?
• Excellent understanding of Project Management tools and methodologies.
• Brilliant communication skills and experience of working with a range of clients across different industries.
• Experience of delivering stands in the USA, and experience of managing Union Labour and drayage
• Strong ability to manage client expectations, and exceed them.
• Acute organisational skills, with the ability to manage and oversee multiple projects at the same time, at different stages in the project lifecycle.
• Previous experience of working in an Exhibitions environment.
• Experience in delivering a variety of exhibition spaces and programmes, small - large on a global scale for a range of clients/accounts with a range of budgets.
• An in depth understanding of the strengths, weaknesses and specialities of event/exhibition suppliers.
• Relationship management skills - from managing various stakeholders, internal and external.
• Experience in procuring suppliers and managing supplier relationships.
• The ability and desire to travel for periods of time in the UK and abroad.
• Experience of working within a professionally accredited environment is preferable but not essential.
• Working collaboratively with a growing team.
• Ability to develop new business within existing client accounts.
