Role Purpose

The Senior Personal Assistant will provide high quality and efficient support to the National Agency / Occupier Services Team to ensure optimising the time and efficiency of the senior leaders. By handling administrative tasks, streamlining communications and supporting leadership with departmental initiatives, the Senior PA will free up time for high value activities and business growth.

Key Responsibilities

Efficiently managing the schedules, organising meetings and ensuring that they are adequately prepared

Setting up recurring internal or external meetings when required

Liaising with the travel company to book flights, train tickets and hotel accommodation

Ensuring the handling of sensitive information with the utmost confidentiality and discretion

Prepare and submit expenses, track and reconcile expense report

Liaise with other team PSs to maintain up to date client lists in ClientIQ

Maintain marketing/event calendar for departmental events

Coordination of departmental events or any events hosted by Eds the team (Monthly Index calls, townhalls, monthly shout, strategy day, team away day etc.)

Coordinate and support any other internal or external events

Assist with fee forecasting and review the billings report for the team using Salesforce (CBRE's CRM system) as well as updating information for the current projects.

Using Peoplesoft (CBRE's finance system) and Finishline to raise invoices, code/process external supplier invoices, register new projects and raise expense claims.

Manage the fee forecasting and review the billings report for the team

Carry out Anti-money laundering checks for new clients with the help of the compliance team

Preparation of outgoing correspondence and various other documents

Formatting of PowerPoint presentations for pitches and Microsoft Word Reports.

Track attendees responses to invitations and keep a record of all events in an organised manner

Person Specification/Requirements

Advanced IT skills (PowerPoint, Word, MS Outlook, Excel)

Good communication skills, both verbally and in writing

Team player who effectively works with colleagues and clients of varying seniority

Accurate and exceptional attention to detail

Ability to prioritise and co-ordinate tasks efficiently ensuring all deadlines are met

Maintain a positive and flexible attitude towards all tasks

Proactive: Takes initiative and anticipates the needs of the executives team

Adaptable: Able to handle a fast-paced and dynamic work environment

Reliable: Dependable and trustworthy with a strong work
