Senior People Operations & Vetting Administrator - 18 month FTC

The People Operations team are responsible for administering all people related changes, this includes all elements of the employee lifecycle such as new starters, movers and leavers, (including screening and vetting), promotions, annual salary review, changes of role, department, cost centre, line manager, benefit administration,

Vetting is a large part of this role and is a crucial part of our business, it ensures that we safeguard the integrity of the National Lottery as per the license.

Key Accountabilities:

This role will be responsible for several specific areas of activity which include:

  • Vetting
  • Managing a small team of People Administrators (3)
  • Gambling Commission Reports
  • General People related administration
  • People related Project coordination
  • End to end management of the parental leave process
  • Supporting the People Operations manager

Vetting

This role will be responsible for the complete vetting process for all critical function individuals working for or on behalf of Allwyn. The process requires ensuring that individuals are aware of their obligations in a timely manner, chasing up if there are delays or queries that need answering, ensuring that individual screening reports are obtained, reviewed and fit & Proper status is issued, recording dates and outcomes and escalating any issues. If there are queries from the business or our suppliers this role will work closely with them to understand obligations. This therefore includes:

  • Coordinating all aspects of the vetting process, ensuring that all individuals (including colleagues, contractors and third parties) who require vetting are identified and processed.
  • Lising with suppliers when needed to escalate individual vetting issues
  • Ensuring vetting documentation is completed accurately to avoid delays in processing.
  • Providing feedback on vetting status to stakeholders as required.
  • Maintaining the vetting data in the format specified by the Commission.
  • Provide vetting information to key stakeholders to provide assurance of compliance.
  • Ensure we comply with the vetting procedure at all times.
  • Updating the Vetting procedure when changes are needed.

People Operations management

This role will also manage three administrators and the day to day operation of people related functions and duties, providing admin support to the People team and wider company. This includes maintaining employee records, processing documentation and preparing documents relating to employee lifecycle activities and payroll, dealing with employee requests regarding resourcing issues , rules and regulations.

This role supports the People Operations manager in making sure that processes, policies and procedures are all in place enabling the team to be efficient and confident in their work.

This role will act as a point of escalation to the wider people operations team where greater experience and networking is required.

Provide line management to the team and be prepared to step in and take on more complex issues and coach less experienced team members with getting resolution to issues. This includes:

  • Regular one to ones, quarterly reviews and end of year reviews
  • Ensuring team performance is maximised and addressing any issues
  • Being a point of escalation to more complex queries.
  • Actively contribute to the continuous improvement of team specific processes.
  • Facilitate cross training and development activities within the team to increase knowledge across the People Operations team.
  • Supporting with ad hoc project work as and when required.
  • Supporting the People Operations manager.

People Related Project Coordination

This role will be heavily involved in most People related projects. These projects might be linked to continuous improvement or expanding the overall offering of the team. As key coordinator this role will work across the wider people team and consider all elements of a project to make sure that it is successful, robust, repeatable and documented. This role will make sure that the issue or plan is fully understood, that all stakeholders are suitably engaged, timelines understood and achievable, all updates made to all systems/documents, that the improvement or opportunity is fully documented (including any process maps, user guides, forms and information needed on the intranet etc.)

Requirements

  • Experience of working in a regulated industry where Employee background checks have been required.
  • Previous experience of working with HR systems
  • Ideally CIPD qualified (or working towards this)
  • Ability to use Microsoft Office applications including Word, Advance Excel, PowerPoint and SharePoint sufficient enough to analyse data, produce letters, reports, processes, spreadsheets and presentations.
  • Good understanding of HR including employee relations, rewards, employment legislation.

Skills

  • Ability to use judgment when advising the business on appropriate actions
  • Ability to support less experienced team members and ensure that correct levels of prioritiastion are applied to activities.
  • Manages priorities effectively to achieve deadlines, and can work on multiple activities at once to accomplish objectives
  • Awareness and demonstrable experience of handling sensitive personal information and employee queries
  • Personally committed to and actively works to continuously improve themselves
  • Excellent communication skills both in writing and face to face

As part of our onboarding processes, all successful candidates will need to complete both a Pre-Employment Screening process and a Fit & Proper check by the Gambling Commission. These checks include a DBS (an enhanced check, which shows convictions and conditional cautions), credit and social media checks. As part of our application process, you will be asked to identify in advance if you have spent or unspent convictions that we need to be aware of.

Should you not disclose convictions at the application stage, not pass the Fit & Proper Check process or not complete your Pre-Employment Screening then unfortunately you may not pass our probation process.
