Senior Office Administrator - Grimsby

You'll be:

  • Providing administration support at Management level
    • Provide link throughout white collar office operations to ensure smooth running of organisation
    • Lead content and accuracy of marketing and social media posting.
    • Support project work as required which can include site based support
    • Support Proposals and BD from PQQ through to site services proposals
    • Support Estimating team with bid/tender document preparation
    • Use a variety of software packages, such as Microsoft Word, Outlook, PowerPoint, Excel to produce correspondence and documents and maintain presentations, records and spreadsheets
    • Devising and maintaining office systems, including data management and filing
    • Booking internal and external meeting rooms, conference rooms and events
    • Attending meetings, taking minutes and tracking actions
    • Travel management; arranging travel, visas and accommodation
    • Credit card reconciliation/expenses for Senior Management
    • Handle confidential documents/files
    • Screening phone calls, enquiries and requests, and handling them when appropriate
    • Meeting and greeting visitors at all levels of seniority (internal/external)
    • Ordering and maintaining stationary and equipment
    • Arrange catering requests
    • Arrange IT requests as and when required
    • Arrange facilities requests
    • Contact for event bookings
    • Updating holiday charts
    • Updating training matrix and booking training courses
    • Meeting planning and support
    • Data inputting
    • Purchasing on request

You'll have:

  • Demonstratable experience in Administration and marketing roles
  • Appropriate qualifications and training for Senior level Admin Assistant, Secretarial or similar roles
  • High level of proficiency in preparation of documents, presentations and spreadsheets using Microsoft Office software, including word, PowerPoint, excel and Visio
  • Ability to relate to and work with people at all levels in the company
  • Act as an ambassador for the Corporate Team inside and outside of the company
  • Excellent time management and priority setting skills to meet the varied demands of the business
  • Ability to adapt to manage a wide range of work demands from simple to more complicated tasks
  • Look for opportunities to improve the efficiency and effectiveness of the business
  • Maintain absolute confidentiality for all individuals and their work within the business
