Role Summary
This is an exciting opportunity as part of our global Client Service Team. You will be a key member of the team ensuring our client programs are staffed and placed to perform to the highest standard.
To succeed in this role, you should be highly organized and able to perform multiple tasks for different teams/clients at the same time. If you have experience in supporting project managers and understand what excellent customer service is, we would love to meet you.
Our ideal candidate is able to both administer daily client activities and proactively look ahead to ensure we meet our deadlines.
This is a full time position, working remotely or within commuting distance of our office in London
Scheduling
- Schedule the full-time trainers and their time allocation (60% training 40% non-training projects such as material creation, blog writing and other such content) in conjunction with the Head of Content, Content and Resource Manager and Managing Director
- Allocate & manage trainer time appropriately and correctly in line with client expectations and initiatives
- Identify suitable trainers who can support account managers on writing proposals and last minute material requests.
- Produce utilization reports as required
- Work closely with the content and resource manager on trainer time and utilisation to ensure that the workload is evenly shared and most effective and efficient utilisation of trainers takes place
- Be the point of contact for all queries relating to scheduling
- Liaison with account managers
- Liaison with full-time trainers and associates
- Forward planning and allocation of full time and associate trainers for summer and outside summer
- Ownership of full summer training schedule
- Work closely with account managers and programme managers to allocate appropriate resource
- Work closely with the team for logistics (travel)
- Communication around scheduling and status of trainer allocations to programmes to be in a timely and comprehensive manner.
- Maintain positive and engaged relationships with Associate trainers and TAs through communications, special initiatives, and excellent customer service.
Logistics and Travel
- Coordinate and support all logistics relating to the scheduled training days. This involves communicating with client account managers and trainers.
- Preparing travel itineraries (end to end), updating training calendars and ensuring all trainers have received these.
- Work closely with travel service providers to identify most cost-efficient travel and hotels
- Reviewing, validating, and submitting purchase orders as part of the ordering process, raising POs, checking invoices to ensure POs are accurate.
- Supporting our finance team answering questions relating to POs and logistical queries.
Essential
- 2-3 years of client facing administration experience
- Excellent communication skills with a positive can-do attitude
- Strong Proficiency in MS Office, especially Excel.
- Strong organisational skills and attention to detail
- Good level of initiative and problem-solving ability (creative thinker)
Desirable
- Knowledge of the financial services industry
- Understanding of project management
- Experience using Salesforce
