Profile:

If you're an experienced Financial Planning Assistant who thrives in a fast-paced, client-focused environment, this role gives you the chance to step up as both a trusted partner to a Financial Planner and a mentor within the wider team. You'll play a central role in ensuring exceptional client service, smooth operational delivery, and the ongoing development of FP Assistants across the business. From managing workflows and onboarding new team members to supporting complex client cases and acting as a subject-matter expert, this is a role where your organisational strength, technical knowledge, and leadership skills truly shine.

What You'll Be Responsible For:

  • Workflow & Operations Management - Oversee team workflows, ensure tasks are updated and monitored in Intelligent Office, and maintain smooth day-to-day operations.
  • Client Meeting Preparation - Prepare pre-meeting packs, engagement letters, valuations, and documentation for new and existing clients.
  • Platform & Provider Administration - Submit and process new business, manage cash movements, complete fund switches, and obtain product information and valuations from provider platforms.
  • Compliance & Quality Assurance - Complete AML checks, support four-eye reviews, handle trust and death claim administration, and ensure accurate client records.
  • Client & Stakeholder Communication - Take client and provider calls, liaise with life offices and internal teams, and keep Financial Planners updated on case progress.
  • Annual Review Support - Work closely with Financial Planners and Paraplanners to facilitate timely and accurate annual reviews and client reports.
  • Systems & Tools - Use Intelligent Office, Figaro, Oracle, and provider platforms to maintain records, log absences, generate invoices, and manage remuneration expectations.

What You Bring: Required

  • Degree-level education (or equivalent experience).
  • At least 5 years' experience in Financial Planning Support.
  • Strong customer service skills and excellent written and verbal communication.
  • High attention to detail, strong organisational skills, and a methodical approach.
  • Proven experience mentoring, coaching, or managing team members.
  • Ability to remain calm, resilient, and solutions-focused under pressure.
