Job Description
Job purpose
To provide Facilities Management focusing on a proactive approach to deliver a high quality, professional provision in line with business and client expectations.
To provide management and supervision of the Group's Facilities service delivery in the London office including helpdesk, Front of House, catering, vending services, cleaning, physical security, mechanical & electrical, fabric maintenance, printing, post room, Desk Booking and Room Booking, furniture, moves and changes, recycling, waste management, travel, couriers, stationery. To support the Facilities Leadership team in the operational preparation and implementation of various projects. To lead the physical security operation across all offices within Evelyn Partners.
Key Responsibilities
- Acting as the main lead for all facilities related operations relating to services in the London office including Front of House, catering, vending services, security, travel management company, cleaning, printing and post room, stationery, recycling, waste management, taxis, couriers, and plants.
- Day to day management of following categories of suppliers delivering services into the London Gresham Street Offices; Front of House & Catering, Switchboard, Desk booking SW, Room Booking SW, Archiving, Physical Security, FM Helpdesk, Travel, Stationary, Mail Services, MEP, Cleaning, MFD and Planting. Duties to include managing the service providers on a day-to-day basis for London
- Manage the physical security arrangements for all Evelyn offices, including guarding, access control, CCTV, keyholding and intruder alarms. Ensuring arrangements and operational procedures are audited and effective, reporting compliance to Risk and Head of Facilities BAU.
- Act as the Facilities emergency response contact for London. Provide first line response and escalation of any emergency incident. Compile incident reports as required.
- Manage any BAU move processes within London i.e., acquisitions and ensure these are carried out in accordance with policies and procedures.
- Assist with the tender processes for Facilities services and ensure any changes in supplier are implemented smoothly and ensuring improvements in service provision are delivered.
- Carry out space planning and utilisation analysis to ensure best use of space and minimise surplus space where changes are required in regional offices
- Assist in the development of budgets for revenue, capital, and project expenditure. Manage and review site specific budgets and provide variance reports.
- Review and authorise supplier invoices against contracts, purchased orders and where appropriate variable cost invoicing.
- Advise Regional FM's and Senior leadership team on any security concerns.
- Project support on the rollout of the ProWatch solution to the rest of the Evelyn estate.
- Support the Head of Facilities BAU with any ESG/ESOS and any other environmental reporting.

Qualifications
Key Skills and Experience
- A demonstratable strong experience of Facilities management for both hard and soft services
- Experience of managing a physical access control solution (ProWatch ideally) and CCTV experience
- Experience of managing physical access control solutions (ideally across multiple locations)
- Self-directed and motivated plus an ability to problem solve, escalating any blockers early with recommendations to relevant senior leadership.
- Experience of working within an organisation going through transformational change and to be able to demonstrate experience of introducing continuous improvement to the department.
- Strong ability to oversee multiple ongoing activities.
- Experience of contract management.
- Understanding of the importance of Health, Safety and Environmental legislation within the workplace.
- Excellent communicator with internal and external stakeholders, ensuring a proactive approach to working with all the necessary departments across the business.
- Teamwork, leadership skills and line management.
- Excellent interpersonal, verbal, and written communication skills.
- Good organisational skills with a strong attention-to-detail.
- Team-oriented with strong integrity and professionalism.
