What we're looking for
We are seeking a highly organised and pro-active Senior Executive Assistant to provide top-tier support to the VP, International People Team & Chief Development Officer, International Technology. This pivotal role will ensure the seamless coordination of their daily schedules, priorities, and strategic initiatives, enabling them to focus on high-impact work.
Key responsibilities include:
- Accountable for the efficient running of Executives/VP diary, directing schedules in accordance with the strategic priorities of their function and applying smart scheduling principles.
- Responsible for expenses management; including submissions and management of approvals.
- Responsible for meeting coordination - creating agendas, clarifying roles of attendees, attending as required and tracking actions.
- Manage Executive/VP travel including establishing visit objectives, creating agenda, scheduling of meetings, coordination of activities, travel, and hospitality bookings.
- General administrative activities, including completion of compliance activities (mandatory training, functional policy, and process updates), leader performance activities (submission of performance reviews, talent assessments)
- Content creation and preparation of presentations, reports and talking points in All Hands, Town Halls, and other events.
- Event management for department All Hands, Executive visits, and functional events
- Assisting the leaders, as requested, and prioritized, in management and leadership activities including providing Workday reports and key metrics,coordinatingdata collection for business review content.
- Workingwith theexecutive assistants across the globein support of wider company initiatives and events,e.g.town halls,and overallcoordination of meetings across multiple time zones
- Involvement in ad-hoc projects, as required by the leaders, and collaborating with the executive assistants to further the PA's development.
- Occasional wider function support as needed.
You should possess the following skills and experience:
- Experience of supporting senior level management and their teams, ideally in a global matrixed organisation
- Strong prioritisation and project management skills with the ability toprioritise, multitask and think ahead.
- Strong inter-personal skills with the ability to build relationships within and acrossmultiple time zones& countries.
- Able to performin a busy and demanding environment.
- Maintain absolute confidentiality and act with discretion.
- Strong verbal and written skills
- Proficiency in all MS Office applications
- Desire to continue to grow and develop new skills.
- Willingness to get involved in a variety ofad-hoc projects.
- Team player with a collaborative, hands on approach to support the wider EA team.
Desirable
- Previous experience of Workday/Power BI
- Experience and/or interest in Human Resources
