Senior Executive Assistant
Location : Hybrid with 2-3 days per week in London

Are you a dynamic and highly organised professional, looking to make a significant impact in a large, innovative and growing organisation? We are seeking an accomplished and proactive Executive Assistant to join the Chief Executive Office and support the Head of UK and Ireland.

This role will report to and work in collaboration with the Chief of Staff to ensure the CEO is effective and successful, enabling them to focus on strategic initiatives while you take care of the details. Your ability to multitask, prioritize, and communicate effectively will be instrumental in ensuring the seamless operation of CEO. This role is seeking an individual who has a proven background in managing complex scheduling and day to day organisation at the most senior executive level, as well as a great attention to detail, resourcefulness and the ability to remain calm under pressure.

Your role
This role requires a positive, flexible and curious individual who has a passion for organisation and making an impact. The main responsibilities of the role include;

• Understanding the priorities and tasks required to support the effective day to day running of the CEO
• Complex diary Management across multiple time zones.
• Safeguarding the CEO's time - ensuring meetings are triaged and prioritised in the most efficient way to suit the CEO's objectives and maximize time efficiency.
• Ownership of the requests for, coordination of and distribution of meeting materials in advance to facilitate.
• Working in partnership with the COS and COO office to ensure successful delivery of the wider UK Business priorities.
• Delegation responsibility for approvals where appropriate and obtaining relevant business rationale for expenditure.
• Mailbox management to include initial triage, acknowledgments, items to flag or redirecting where appropriate.
• Research and planning domestic and international travel itineraries and meeting schedules for business trips including all associated logistics.
• Planning and arranging customer trips and entertainment schedules.
• Deputising for the Chief of Staff where required.
• Pro-actively following up on action items required of the CEO and UK Leadership Team.
• Processing, tracking and managing expense claims on behalf of the CEO within Concur according to company policy.
• Administrative tasks for the CEO, such as taking meeting minutes, printing documentation and ad hoc admin etc.
• Arrange, attend and be involved in key Leadership Team meetings and events with accountability to track and follow up on actions and activities.
• Deputising for the Chief of Staff where required.
• Demonstrating a consistent and professional representation of the CEO brand as a key liaison to both internal colleagues and external customers/offices
• Building knowledge and networks with other HQ and Global Office Teams within the organization.

Your Transferable Skills and Experience
• Proven experience as an executive assistant to a CEO or a Senior Executive
• Excellent organisational, planning and time management skills.
• Exceptional interpersonal skills, verbal and written communication .
• Ability to prioritise and handle multiple tasks and demands at any given time.
• Proficiency in MS Office Suite
• Strong problem-solving and decision-making skills.
• A proactive and detail-oriented approach to work.
• High level of professionalism, integrity and discretion.
• Commercial awareness.
