Overall Purpose of the Role
Working within the Media Resources Library of the DMS department. You will be a key role in the archiving, maintenance, storage, and provision of access to both tape and digital assets associated with all Fremantle productions. As well as looking after all subtitling, clip editing, festival, and award submission support, plus any other ad hoc editing request.
Main Objectives of the Role
- Coordinating departmental workflows to ensure the effective, smooth running of the Production Library
- Working across several projects simultaneously to ensure agreed service levels are adhered to
- Responsible for accurate data entry: cataloguing, barcoding and accurate storage of production masters post TX
- Ensuring file names are correct
- All expected deliverables are tracked and accounted for
- Downloading screener files from both internal and external post- production facilities
- Taking delivery of safety master files and audio stems via cloud storage platform
- Making sure we get the final master archive backup on LTO as outlined in our delivery specs
- Make sure all master content uploaded to the DAM has appropriate metadata logged against it and is in sync with Xytech
- Run LTO backup and restore jobs on behalf of FMUK labels (and other FM teams on occasion) as and when requested, some examples are listed below:
- Creating Rushes LTO's from Production back-up drives & QNAPs.
- Creating the master back-up LTOs from assets on DAM
- Ensuring all relevant assets on Master LTO are also duplicated on DAM
- Take care of all master material requests where these are needed for promo creation by the marketing and creative teams
- Ensure all physical assets are accurately logged, tracked, and returned to storage, running regular reports of what content we have at external locations
- Log all rushes received by production labels making sure the data input to the library system matches the logs of the content received
- Arranging transportation of material to external clients and facilities via runners and couriers
- Assisting the team with procurement of hard drives and camera cards for productions
- Building good working relationships with Production staff and departments cross functionally
- Collaborating with Manager to continually evaluate workflows and procedures, generating new ideas for optimising efficiency and maintaining archive standards
Experienced Needed for Additional Ad Hoc Department Cover
- Oversee all subtitling requests that come into the department
- QC, brand, and export to the expected outputs all promos received so we can guarantee we get all the right materials to allow for localisations and re-versions
- Support the international sales area of the business using Sargasso, their internal asset management system with uploading, managing & creation of clips and pre-titles making sure they meet the specs and requirements requested
- Take care of any ad hoc editorial jobs which can range from compiling a selection of clips, showreels and un-official promos to support presentations
Knowledge and Skills
- Excellent accuracy and meticulous attention to detail essential
- Leadership skills when taking on and executing team projects
- Strong written and verbal communication skills and the ability to multi-task
- Well organised and ability to use own initiative
- Practical and logical approach to work
- Understanding of the principles and importance of archiving and preservation
- Proficiency in Microsoft Outlook, Word & Excel
- Experience of working with digital video formats, video editing software, asset management, cloud storage and basic knowledge of post-production workflows an advantage
- Positive attitude with a willingness to learn and develop professional skill set
