The role reports to the Head of Operations, London, who reports into the COO. You will also be working closely (dotted reporting line) with the Head of Operations, Berlin and Techspace's Programme Manager. They're a great experienced team to work with.

Your Profile

Proven experience of managing office services and facilities of a multi-site organisation to ensure a safe, efficient and cost-effective working environment.

You will have experience in sourcing and managing internal and external contractors and coordinating essential hard and soft services.

This role will suit a highly organised individual with excellent communication and an in-depth knowledge of facilities management.

You must have good Health and Safety knowledge as you will be responsible for ensuring all buildings meet UK regulations and any relevant qualifications would be highly desirable. You will also have a supervisory and advisory role over our Berlin based sites.

What you'll be doing

Manage Building Services & Facilities:

  • Lead and direct contractors to agreed SLA's
  • Agreeing and ensuring PPM's and reactive task management is delivered by external contractors for all equipment and infrastructure
  • Ensure members perceive exceptional value and excellence of service
  • Recommends maintenance, mechanical, electrical, and facility design modifications
  • Provide overall leadership, administration (and as required) negotiation of all FM contracts
  • Timely delivery of core facility services on a daily operational basis
  • Ensure building maintenance is in accordance with the terms of the occupancy lease
  • Conducts and documents regular facilities inspections
  • Assist in production of capital and operating budgets
  • Ensures that our facilities comply with our ESG and Carbon Net Zero strategy
  • Ensures that our facilities management complies with Health & Safety regulations
  • Be the escalation point of contact for issues/ complaints regarding facilities team/ contract
  • Maintain/ update O&M Manuals
  • Keeping sufficient stock of critical business items

Projects Management:

  • Be the interface between all stakeholders, internal and external & provide excellent service to our Members
  • Support with customisations and reinstatements where needed for the Operations team, Members and Sales
  • Manage Building Fabric and MEP upgrade projects in the UK and Berlin
  • Participate in the design and commissioning phases of new developments as the FM stakeholder, working alongside the Programme Manager and Design Manager.
  • Coordinate the FM technical services strategy for new offices as they come online.

Health & Safety:

  • To support the provision of Risk Management, Health and Safety and Sustainable operations to not only legally compliant standards but the standards expected by top institutional clients.
  • Ensuring all building certificates are up to date and that the building is legally compliant.

Training:

  • Ensure correct training available for fire prevention, workplace risk assessments and other relevant EHS areas.
  • Support with training new starters as appropriate on building and other site systems.

Other:

  • Service Charge Management. For sites that we provide services for third party tenants you will coordinate with them as principal point of contact and manager of the Service Charge arrangements. You will also liaise with our landlords to manage the Service Charge component of our relationship with them. In both cases alongside our finance team.
  • Proactive budget & forecast preparation and controls working with finance. Forecast half yearly spend for building and check all building related invoices ensuring they are entered correctly for payment.
  • Implementation of capex and minor capex planning and proposals.
  • Annual review of costs for potential savings from varying suppliers or operating processes.
  • Monitoring the current market on Utility costs, negotiating best rates, liaising with Finance.

What you'll bring

  • Preferably a member of IWFM and demonstrating the latest sector knowledge.
  • Strong knowledge of UK facilities legislation including EHS, COSHH.
  • Strong technical knowledge of MEP systems.
  • Preferably qualified in NEBOSH.
  • Strong knowledge of Health and Safety systems and processes.
  • Strong knowledge of sustainability best practice and Carbon Net Zero planning with regards to Facilities Management. Knowledge of Energy Analytics Systems would be beneficial.
  • Proactive problem-solving approach and a 'can do attitude' to reflect a growing and evolving company.
  • The ability to work on their own initiative, have a conscientious approach.
  • Ability to establish priorities, work independently and proceed with objectives without supervision.
  • Strong interpersonal skills and line management experience
  • Time Management and Planning skills.
  • Ability to work well under pressure.
  • Well organized & flexible.
  • Evidence of strong customer focus.
  • Knowledge of office procedures, systems, communication and record keeping.
  • Knowledge of IT packages to include MS Outlook, Word, Excel, PowerPoint.
  • Friendly and efficient manner.
  • Strong identification with Techspace's values.
