We are the Examinations Team. We manage the organisation and operation of over 2,600 invigilated examinations annually for more than 120,000 candidatures, including those delivered overseas and online, and for all King's College London students.

We are responsible for the delivery of a comprehensive service that is fit for purpose and evolves constantly to meet the needs of our students. This includes devising and implementing all associated business processes to ensure they are responsive and proactive, and driving a culture of service management and improvement that centres our students at the heart of the service.

We are part of the wider Students & Education Directorate, a collection of wide-ranging professional services in place to support King's students and their education. As a directorate we manage the student lifecycle from application to graduation and beyond, to ensure a coherent and seamless student experience and effective administrative processes, working closely with King's faculties to do so.

About the role

We are recruiting a Senior Assessment Officer who will undertake a variety of tasks associated with the delivery of the examinations service for remote and face to face examinations, including online in-person.

The role holder will form part of a team to work closely with students and faculty staff to support the coordination of three main examination periods, January, May and August, each year as well as supporting large examinations for our medical school on pre-determined dates throughout the year.

This is currently a hybrid working role with both work from home and on campus. The role will be based in our department, on the Strand campus. During examination periods and periods of peak activity, there is an expectation for the post-holder to travel to other sites or spend more time on campus to support core business processes.

This post will be offered on an 2 Year Fixed Term Contract.

This post is offered as a full-time post but we are happy to talk about part-time, job-share and other flexible working options. There are essential periods of high intensity associated with protected examination periods (usually January, May and August) throughout the academic year.

Key responsibilities

  • Contributing towards the preparation, scheduling and publishing of draft and final examinations timetables for the annual assessment periods.
  • Managing Personalised Access Arrangement applications made by students, incorporating their needs into examinations timetables and coordination activities
  • Assisting with organisation and planning of large-scale events and examinations both on campus and in large external venues.
  • Organising, assisting and training Invigilation staff, under the guidance of the Examinations Manager and the Head of Examinations.
  • Representing the examinations team, building key relationships in the college network and externally.
  • To provide a comprehensive enquiry service for members of academic staff, administrative staff and students, either on the telephone, in writing or in person, on all matters concerning the examinations processes.
  • To assist other offices within the Students and Education Directorate as required, and to perform such other duties as may reasonably be required from time to time.

Skills, knowledge, and experience

We're looking for enthusiastic and organised individuals to form part of our growing team.

Applications welcomed from people of all backgrounds and walks of life, particularly those with transferrable organisation and stakeholder management and development skills.

Experience with large-scale events, customer service and customer facing roles and/or planning and logistics (including scheduling and timetabling activities) would be advantageous but not essential.

Essential criteria

  1. Relevant work experience and/or education: We think a wide range of different work and educational experiences could support you to be successful in this role.
  2. Relevant work experience might include work in events, or logistics.
  3. Relevant educational experiences might include higher education in a related discipline, professional qualifications or other training.
  4. Experience of supporting a customer facing administrative service in a fast-paced environment.
  5. Good computer literacy, particularly Excel.
  6. Ability to form and maintain relationships with stakeholders both internal and external to the Institution.
  7. Strong interpersonal and communication skills, with an ability to negotiate effectively between parties when required.
  8. Experience of following, developing and documenting complex policies and procedures with an ability to communicate these clearly to a wide range of audiences
  9. Experience with running large scale events and contributing to time sensitive projects.
  10. A commitment to quality assurance with a solutions-focused and methodical approach to tasks.
  11. The ability to prioritise own workload in order to meet strict deadlines.

Desirable criteria

  1. Experience of large-scale scheduling/timetabling using scheduling software would be very advantageous. We use Scientia.
  2. Experience with using SITS in an assessment context.
  3. Experience using Moodle in an assessment context.
