Job overview

We are looking to recruit a professional, conscientious, individual to become part of the Administration Team for our Looked after Nursing Team and 0-19 Admin team. The working hours are 9am-5pm Mon-Fri.

The role is a dual role split between the Looked After Children's Team and Merton Admin Spa

Looked after Children Service:

The post holder will work closely with the Looked after Children's Nurses who are responsibility for the health and wellbeing of the Merton Looked after Children (LAC). The team is a small dynamic team, who put the children's needs at the heart of our work. This was recognised in 2024 with one of our nurses winning the CLCH coveted Compassion in Care Award.

Merton Children's SPA Team, Senior Administrator:

The post holder will work closely with the Spa Team leader and be responsible to support clinical services, manage the daily demand of referrals and to effectively prioritise incoming referrals into urgent and non-urgent. The post holder will also take online management duties to members of the Admin Team, completing 1:1's and daily management duties.

You will work flexibly between the 2 services.

Main duties of the job

To support the running of the Looked after Nursing Team

To support the day-to-day running of the administration needs of the Looked after Nursing Team and to act as a point of contact for professionals.

To work as part of a team ensuring that the daily administration tasks are completed effectively and efficiently.

To communicate with professionals and the public with tact and sensitivity.

Education/Qualifications

Essential criteria

  • Good general standard of education
  • Educated to diploma level or equivalent level combination of NVQ 3 education, short courses, or equivalent experience

Desirable criteria

  • Certificates in leadership/ management, quality improvement

Experience

Essential criteria

  • Previous administration/secretarial experience. Experience of working with the public in a customer or client-facing role.
  • Experience in running an office including managing, maintaining and developing databases and filing systems including maintaining stationery/stock levels and diary management.
  • Advanced level and competence in a range of computer skill for IT systems and business applications e.g. MS Word, Excel, PowerPoint, Scheduler, Outlook, or similar application for development of spread sheets, presentations & databases.
  • Experience of using patient administration systems.
  • Experience of dealing with enquiries from the public and partner organisations.
  • Experience of prioritising workload to meet conflicting demands.
  • Experience of supervising and managing staff.
  • Experience of organising meetings and events including speakers

Desirable criteria

  • Experience of working in the NHS/Public sector.
  • Project management experience.
  • Experience of recruitment and selection procedure.
  • Ability to learn new internal and local processes and procedures.

Skills and Knowledge

Essential criteria

  • Knowledge of a range of administrative/secretarial procedures.
  • Understanding of patient pathways and medical terminology in own area of work.
  • Excellent communication skills both verbally and in writing with the ability to communicate at all levels and across a variety of agencies with negotiating and persuasive skills.
  • Excellent organisational and administrative skills and the ability to set up office systems and monitor review and implement changes to existing working practices.
  • Know and understand the legal definition/term of who LAC/Care Leavers are. Know about the impact of neglect physical sexual/emotional abuse on LAC/Care Leavers.
  • Awareness that children in care may still be vulnerable and at risk of abuse/neglect e.g. CSE/County Line.
  • Open to attend training organized by LA, CLCH or other partner agencies to learn and acquire new knowledge, skills and competencies in relation to LAC and Special Educational Needs & Disabilities

Desirable criteria

  • Experience of working in an environment requiring an awareness of safeguarding children and vulnerable adults.
  • Awareness of the Children's and Families Act 2014, Send Code of Practice 2015, Children Act 1989, Disability Discrimination Act 1995 and other related statutory guidelines including safeguarding children and adults.
