Job Purpose
To provide high level administrative support in the delivery of key activities across the School of Health & Wellbeing (SHW), with responsibilities for the implementation of an accurate, efficient, operational and financial support service for the School of Health & Wellbeing.
Main Duties and Responsibilities
1. Responsible for maintaining, monitoring, and reporting on a number of School budgets, e.g. research projects, student payments, financial aid, etc, ensuring that all resources are correctly and efficiently utilised in line with relevant financial management. Responsible for taking corrective action where appropriate and ensuring a strong financial internal control environment is maintained.
2. Provision of detailed analysis and advice/evaluation for the Senior Management Team with reference to established School/University finance procedures in order to influence the effective operation of the School, highlighting and prioritising issues for further investigation and preparing reports to support decision-making. Provision of statistical data in support of reporting to College,
University and external agencies (e.g. HESA, Athena Swan) as required.
3. Supporting the budget-setting and year-end processes and longer-term strategic planning, including reconciliation of accounts and administration of key tasks including recharges and journaling transactions.
4. Day-to-day administrative oversight of operational and financial processes, including manipulation of School data. Tasks involve: the tracking and manipulation of authorisations, virements and accruals; investigation and resolution of discrepancies and shortfalls on a regular basis, including issues of financial registration and student debt, dealing with problems at source and error reporting/escalating as appropriate; recording prizes, scholarships and other financial aid awards, and ensuring payment of same.
5. Management of the School finance administration ensuring that processes are operating with defined targets to provide analysis, evaluation and reporting on the transactional activities to enhance delivery and service performance.
6. Oversight of financial processes in MyCampus, including the application of Financial Aid, bursaries and fee waivers and resolving financial issues raised via Ivanti.
7. Responsibility for forward planning of any gaps in research staff salaries and accurately processing
manager requests in compliance with standard University and College policy and procedures, delegating tasks as appropriate.
8. Responsible for the coordination of requisition activity across the School in line with School, College and University policy, reviewing and monitoring activity as appropriate and reporting outcomes to the Head of Professional Services.
9. Responsible for coordinating any other financial activity involving the School operations and communications teams when required.
10. Any other duties as required in support of the School professional services teams as determined by Head of Professional Services.
Knowledge, Qualifications, Skills and Experience
Knowledge/Qualifications
Essential:
A1 Scottish Credit and Qualification Framework level 8 (Scottish Vocational Qualification level 4, Higher National Diploma) or equivalent, and experience of personal development in a similar role Senior Administrator (Grade 6)
Or: Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills through personal development and progression in
a similar role(s).
A2 Detailed operational knowledge of Agresso or similar system.
A3 Detailed operational knowledge of Excel.
Desirable:
B1. Detailed operational knowledge of other University of Glasgow systems e.g. Bi-Query, HR Core, MyCampus
B2. A comprehensive knowledge of University procedures and policies
Skills
Essential:
C1 Excellent oral and written communication skills with the ability to challenge were appropriate.
C2 Financial data skills sufficient to analyse financial data and transactions, monitor budgets and report
financial details
C3 Ability to anticipate, analyse and address problems independently to initiate judgement.
C4 Ability to work proactively and flexibility, adapting to changing prioritises and requirements.

Experience
Essential:
E1 Experience of working with financial information sufficient to analyse financial data and transactions,
monitor budgets and report financial details
E2 Experience of problem solving, planning, organising and setting priorities.
E3 Proven decision-making experience, involving independent analysis and judgement
E4 Staff management experience and a track record of developing and motivating staff
Terms and Conditions
Salary will be Grade 6, £33,232 - £36,924 per annum.
This post is full time and open ended.
