Job summary

To be responsible for undertaking a wide range of administrative duties and the provision of administrative support to the multidisciplinary team.

Main duties of the role are:

Lead on Quality Outcome Framework (QOF

Lead on Bolton Quality Contract (BQC)

Lead on Impact and Investment Fund (IIF)

To support staff with the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.

Main duties of the job

Core responsibilities

a. Lead on Quality Outcomes Framework

b. Lead on Bolton Quality Contract

c. Lead on Impact and Investment Fund

d. Management of baby vaccinations

e. Gold standard Framework administrator

f. Maintain practice website and Facebook pages

g. Compose practice Newsletter and keep reception posters up to date

h. Support Practice Manager with general administrative tasks as requested.

Secondary responsibilities:

a. Partake in audit as directed by the audit lead

b. Support reception staff, providing cover during staff absences

c. Book appointments

d. Complete opening and closing procedures in accordance with the duty rota

e. Process incoming and outgoing mail

f. File and store records as required

g. Photocopy documentation as required

h. Repeat prescription processing

i. Process changes to patient registration, deduction of record and new patient registration

j. Input data into the patients healthcare records as necessary

k. Answer incoming phone calls, transferring calls or dealing with the callers requests appropriately

l. Welcome patients and visitors to the organisation, directing requests appropriately

m. Maintain a clean, tidy, effective working area at all times

n. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels

o. Support all clinical staff with general administrative tasks as requested

About us

We are a 5 GP partner training practice looking after just over 9000 patients. We also have 2 ST2 GPs, 3 ANPs, 2 Practice Nurses, 2 Healthcare Assistants and a large administration team.

Qualifications

Essential

  • GCSE Mathematics & English (C or above) or equivalent
  • Experience of working with the general public
  • Excellent communication skills (written and oral)
  • Strong IT skills
  • Clear, polite telephone manner
  • Competent in the use of Office and Outlook
  • Effective time management (planning and organising)
  • Ability to work as a team member and autonomously
  • Good interpersonal skills
  • Problem solving and analytical skills
  • Ability to follow policies and procedures

Desirable

  • Experience of administrative duties

  • EMIS/SystmOne/Vision user skills
  • Access to own transport and ability to travel across the locality on a regular basis, including to visit people in their own home
