Resource & Bid Manager

Sitting at the intersection of Sales, Project Management, and Operations, you will manage project resourcing, assist the Commercial Director with proposal documents and ensure clarity in project scopes and SOWs. You'll be instrumental in keeping our pipeline running smoothly, ensuring we have the right people on the right projects, and that our proposals and Statements of Work (SOWs) are clear, timely, and competitive. We are looking for a detail-oriented problem solver who enjoys making order out of chaos and understands the value of accurate data and clear, detailed contracts.

Resource Management

  • Resource management for a shared global billable team based in London and New York
  • Maintain a real-time overview of team capacity and project demands, proactively identifying potential bottlenecks
  • Run weekly resourcing meetings to resolve clashes
  • Maintain a black book of freelancers for all roles to ensure we can upscale quickly when needed
  • Responsible for coordinating ad hoc freelance recruitment with support from the People Manager
  • Resource all new project opportunities against shadow resource at proposal stage, ensuring that resourced time aligns with deliverables in the SOW and the tasks are clearly defined
  • Ensure that all newly created projects are set up correctly with defined budgets and hours
  • Work with the Project Managers to consistently update project timelines and resourcing as and when deadlines move
  • Provide the Creative Leads and PMs with regular updates on the burn of their projects
  • Advise when additional resourced time will lead to overburn and work with the Lead and PM to find the most cost effective solution
  • Ensure that approved holidays have been logged in Projectworks for future planning
  • Understand the team's skill set, strengths, weaknesses, and opportunities
  • Ensure that all timesheets are completed on a weekly basis
  • Provide regular checks to ensure all data is entered and accurate for Operations Director to run reports

Bid Management

  • Work with the sales and creative teams to help develop compelling responses to RFPs, RFIs, and pitches
  • Maintain our existing library of proposal templates, case studies, and credentials to streamline bid development
  • Ensure proposals have had input from all relevant parties

SOWs & Documentation

  • Draft, refine, and manage Statements of Work (SOWs), ensuring clear deliverables, timelines, and commercial terms
  • Liaise with sales and project managers to ensure all SOWs are accurate and aligned with client expectations
  • Provide all required company policies and documentation for submissions to clients
  • Work closely with the Operations Director to ensure that all stipulated insurance requirements are met

Skills & Experience

  • Minimum of 2 years experience in a Resource Management or Traffic Management role
  • Experience resourcing down to the hour in Projectworks, Smartsheet, Float or a similar resourcing tool
  • Ability to use InDesign for creation of documents from templates
  • An eye for detail and the ability to compile aesthetically pleasing documents
  • Experience putting together client facing documents, including proposals and SOWs
  • A team player with the ability to influence change
  • Excellent verbal and written communication skills
