About this Role:

Based within our Inspired Property Management brand, your main duty will be to manage a portfolio of properties in and around the Leeds and Wakefield areas. Responsible for coordinating all the resources to effectively manage a portfolio of residential developments and deliver outstanding service to our customers. As the lead person for the portfolio, you will take ownership for all aspects of service delivery and control to provide an efficient and cost-effective management service, ensuring delivery within required standards and target timescales.

Job Purpose & Key Responsibilities:

  • To carry out various property management tasks as directed by the Operations Manager and or/ Director/s
  • Carry out regular full site inspections, completing reports, frequency to be dictated by Client requirements, including review of all health and safety and fire risks
  • Prepare accurate monthly reporting information for the Company and Clients
  • To be an ambassador to the company and company values
  • To carry out all duties in accordance with ARMA-Q guidelines and RICS code of practice
  • To carry out various property management tasks as directed by the Director/s
  • To assist IPM Ltd to implement company policies and procedures to an agreed standard
  • Ensure that company policies and procedures are consistently applied to required standards
  • Liaising with the Property Management support team regarding day-to-day maintenance of leasehold properties
  • Attend client meetings, including AGM's and Directors meetings which may take place on an evening where necessary
  • Manage the project management of Section 20 consultations, major internal and external works along with the relevant surveyor or relevant professional consultant
  • Ensure effective communications with residents and client, in a timely and diligent manner
  • Manage electronic data and e-mails and ensure all client files are updated
  • Dealing with email and telephone enquiries from lessees, subtenants, contractors and client
  • Ensure compliance with and enforcement of lease terms and statutory requirements
  • Sign off and approve invoices weekly
  • Produce service charge budgets including preparing reserve and capital expenditure report for the forthcoming years
  • Oversee budget, year-end accounts and quarterly client statement process to ensure that timescales are met and review accounting information to ensure accuracy
  • Manage expenditure against budget throughout the financial year and produce financial reports as required to the Directors
  • Carry out regular site visits to ensure all buildings are in good order
  • Ensure insurance claims are being processed efficiently and correctly (in conjunction with the maintenance team)
  • Circulate information to residents concerning management issues
  • Ensure Health & Safety regulations are adhered to on all sites and that General and Fire risk assessment recommendations are implemented via maintenance
  • Continually update legal knowledge and understanding of relevant leasehold, Landlord and Tenant Act, Section 20 Notices and related lease restrictions and covenant issues
  • Review and agree all circular & client correspondence including newsletters ensuring that communication is regular and accurate

Must Have Skills:

  • Experience of residential block property management.
  • Knowledge of relevant legislation e.g. Landlord & Tenant Act, RICS Code etc.
  • Strong experience of budget management, financial control and delivering cost efficiency.
  • Good working knowledge of building management and repair projects.
  • Ability to inspect properties and provide accurate specifications.
  • Ability to assess quotations for minor works to ensure value for money and make recommendations for appointment of competent contractors.
  • Practical attitude with ability to make decisions on best approach from a technical perspective.
  • Excellent communication skills to include written and verbal presentations.
