Your role

As Property Manager you will be responsible for and have ownership of the overall management and maintenance for Digital Realty's Non-White Space areas including non-DC buildings and Digital Realty owned office spaces.

In addition you will provide administration and organizational support to ensure the smooth and efficient daily operations of all activities in Operations optimized usage of office buildings and exterior surfaces, as well as providing Operational Financial support in preparing the annual budgets, forecasts, monthly performance reports, and variance reports.

This is a great opportunity for someone who enjoys property management to join a small, dynamic team working for one of the worlds leading data centre providers.

Initially this role will be 5 days on site.

What you'll do

Non-White Space Management

  • Perform property inspections on a regular basis and deliver consistent benchmarks for all properties as designated by the line manager. Identify areas for improvement against global standards.
  • Responsible for the delivery of all services to ensure the property is fit for purpose (secure, clean / waste removed etc.)
  • Ensures all activities related to the Non-White space areas are executed according to the contractual arrangements with customers, suppliers, and landlords.
  • Oversee the selection and performance of vendor services for the Non-White space areas including preparation of request for proposals and service agreements; monitor vendor performance to ensure compliance and standards established in the service agreement are being met; supervise scheduling and facilitating maintenance with all related vendors to the Non-white space area.
  • Responsible for the management of all non-white space areas including non-DC buildings and Digital Realty owned office spaces including but not limited to printers, coffee machines, water coolers, vendor machines, painting and small repairs, etc.
  • Oversee the compliance of all lease agreements ensuring all landlord and obligations are met
  • Act as first point of contact and escalations for proprietors.

Vendor Contract

  • Responsible for ensuring contract tracking is in place to provide list of contracts and database for signed contracts • Ensure vendor contract compliance with Global standards
  • Requesting COI's (Certificates of Insurance) from vendors and manage a comprehensive and 'up to date' database of all critical vendors to ensure any insurance liability is in place to mitigate DLR exposure
  • Liaise with relevant stakeholders on Vendor KPI (Key Performance Indicator) management in relation to the Non-White space to demonstrate contractors are performing in accordance with agreed scope of contracts and completion of vendor scoring report.
  • Lead quarterly business reviews with non-white space vendors
  • Managing the maintenance plan of all non-white space vendor

Financial Ops Management

  • Complete monthly variance reporting and analysis to meet Global requirements, including identifying key actions for site management.
  • Coordinate annual site-level Opex budget creation, inputting known maintenance contract expenses, forecasting corrective expense requirements, and incorporating one-off items into budget review templates.
  • Coordinate site-level annual budget review meetings.
  • Provide input for quarterly Opex forecasts, highlighting areas with material variances to budget.
  • Coordinate site-level quarterly financial review meetings with the Finance Business Partner, ensuring alignment with financial goals and objectives.
  • I-UP management; Providing a monthly I-UP (Investment-Upgrade-Project) report to site management to ensure projects and budgets are being managed
  • Accountable for the completion of monthly manual power billing, remote hands and rechargeables acting as an escalation point for Property Administrators as required

Operational Support

  • Responsible for the management of site operational purchase orders, receipting and invoicing ensuring accuracy, compliance, and efficient financial transactions as assigned by line manager.
  • Ensure the PO process for vendors is managed effectively and liaises with the necessary finance teams.
  • Overseeing and purchase all office goods and services, (office equipment, stationary, uniforms etc.)
  • Responsible for providing monthly update on any unbilled activity and rechargeables for site as assigned by line manager.

Document Management

  • Ensure consistent reporting is in place and building performance is reviewed and decisions are followed up.
  • Assist the quality team and provide support on all ISO / SOC / PCI document and audit requirements

What you'll need

  • Extensive role-related experience.
  • A robust grasp of financial terms and principles, with the ability to analyse and make sound decisions.
  • Proven track record of delivering excellent internal and external customer service.
  • Effective resolution of situations or complaints from internal or external customers.
  • Basic knowledge of HVAC and electrical infrastructure terms and components.
  • Proficient in Microsoft Word and Excel.
  • Ability to articulate ideas clearly in written and verbal communication, creating complex financial and business-related documents.
  • Strong organizational skills with attention to detail.
  • Experience in acquisitions and implementing/new system creation is advantageous. Tenant improvement and construction experience is preferred.
