Our Propery & Facilities business continues to grow and we are now looking for an Property & Facilities Manager to join our vibrant office with hybrid/ working. This is an exciting role and would most likely suit someone with previous experience in a property management and facilities maintenance role where they have gained knowledge and experience of managing a portfolio of commercial and/or residential properties, overseeing maintenance activities, and ensuring regulatory compliance.

The Team

Our Facilities, Management and Procurement team are responsible for property strategy, office moves and refurbishment projects, management of the end-to-end procurement process and overseeing operational facilities management across all sites including H&S.

The Role

As a Property & Facilities Manager with XPS you will...

  • Assist the Head of FMP with the development and maintenance of the Property strategy, preparing reports, surveys, data for ExCo meetings and ad hoc enquiries.
  • Update Property Database for lease events, service charges. Archive weekly.
  • Lead and manage the search and selection for new properties in conjunction with service providers and internal stakeholders.
  • Lead and manage property transactions, capital projects (workplace fit outs etc.) and facilities projects in conjunction with office managers, internal stakeholders, and service providers.
  • Completing VOA's, supporting service provider and finance with invoice queries related to business rates.
  • Lead in the Procurement of suppliers and service providers for all property, capital projects and facilities requirements, working in conjunction with XPS Procurement.
  • Act as joint H&S Manager for XPS ensuring XPS are compliant with applicable laws, regulations, polices, procedures and best practices.
  • Provide oversight and support to office managers who will act as the local H&S SME for each location. Coordinate efforts and activities.
  • Lead and manage Office Managers on operational and project matters.
  • Assign work assignments and supervise the progress and completion of these tasks.
  • Overall leadership and management of support services frameworks including travel, meetings and events, archiving, all in conjunction with office managers and other internal stakeholders.
  • Leading, developing, and maintaining a high-quality integrated and efficient Support Services service with efficient and effective process. Consider and always promote ideas for improvement and efficiency and ensure said ideas are delivered.
  • Lead the Office Manager network.
  • Performance management for Lead Office Managers and ensuring that all Office Managers and their teams are incorporated into the XPS HR processes.
  • Contribute to objective setting for FMP.
  • Provide recruitment support for Office Managers. Continually challenge the FMP organisational construct to ensure it is both right-sized and future-proofed.

Your profile

  • Proven track record of at least 5 years in property management and facilities management, preferably in a commercial real estate environment.
  • Demonstrated experience in managing a portfolio of commercial and/or residential properties, overseeing maintenance activities, and ensuring regulatory compliance.
  • Strong understanding of building systems, maintenance practices, and safety regulations.
  • Proficiency in property management software and Microsoft Office suite.
  • Excellent verbal and written communication skills, with the ability to effectively interact with tenants, vendors, and team members.
  • Strong negotiation and conflict resolution abilities.
  • Demonstrated leadership abilities, with experience in supervising and motivating teams.
  • Proven ability to manage and prioritize multiple tasks and projects effectively.
  • Strong organizational and problem-solving skills, with the ability to identify issues, develop solutions, and implement effective strategies.
  • Commitment to providing exceptional customer service and fostering positive tenant relationships.
  • Ability to address tenant inquiries, concerns, and complaints in a prompt and professional manner.
  • Knowledge of relevant laws and regulations governing property management and facilities maintenance.
  • Ability to ensure compliance with all applicable laws, regulations, and company policies.
  • Ideally degree educated or certification in Property Management, Real Estate Management, Facility Management, Project Management or a related field.
  • Familiarity with sustainability practices and energy efficiency initiatives in property and facilities would be advantageous.
  • Experience in financial management, including budget preparation and expense forecasting would be desirable.
  • Awareness of current trends and developments in the real estate industry, particularly as they relate to property management and facilities maintenance.
