About The Role

  • We are seeking a highly organised and motivated Project Planner / Project Coordinator to join our expanding subsea operations team. This is an excellent opportunity for someone with strong planning capability who is keen to progress into a full Project Management role. This is an initial 6 month assignment, with the anticipation of it being coming permanent.

    In this position, you will play a pivotal role in supporting the Operations and Project Delivery teams to ensure the successful execution of complex subsea and telecoms infrastructure projects. You will coordinate multiple workstreams, produce accurate and dependable project schedules, and confidently engage with stakeholders at all levels. Proficiency in MS Project (or equivalent scheduling tools) is essential, along with a proven ability to manage tasks, budgets, forecasts, and timelines within a fast-paced delivery environment.

    You will also be responsible for managing weekly and monthly internal and external stakeholder meetings, ensuring actions are progressed, issues are resolved, and delivery remains on track. Your work will directly support the organisation's strategic growth ambitions in the fast-evolving subsea sector by ensuring projects are delivered on time, within budget, to the highest quality standards, and consistently exceed customer expectations.

    Key Responsibilities

    Project Leadership & Execution

    • Support and coordinate multiple concurrent projects in line with company methodology.
    • Develop, control, and maintain comprehensive Project Management Plans.
    • Monitor project progress, track risks and issue, and implement corrective actions.
    • Drive project lifecycle activities from initiation through to closure, ensuring smooth handover and customer sign-off.
    • Support continuous improvement and contribute to the development of project management best practice.

    Customer Engagement

    • Act as the primary point of contact for assigned projects, ensuring clear and timely communication.
    • Build and maintain strong, trust-based customer relationships.
    • Secure and manage customer inputs, approvals, and technical clarifications to meet milestones and deliverables.

    Planning & Reporting

    • Produce, update, and manage detailed project schedules, capturing tasks, dependencies, milestones, budgets, and resource allocations.
    • Prepare resource forecasts and phased project plans aligned with business priorities.
    • Track key performance metrics such as cost-to-complete and effort-at-completion.
    • Lead weekly and monthly project meetings, ensuring ownership and timely resolution of actions.
    • Generate dashboards, service metrics, progress reports, and performance summaries for management and clients.
    • Analyse critical paths, progress, and forecasts to inform delivery decisions.
    • Integrate schedule insight with cost and risk information.

    Financial Management

    • Support project budgets and cost controls to maintain profitability.
    • Track expenditure, revenue, and billing accuracy, ensuring full Purchase Order coverage.
    • Support cash flow and working capital targets through timely invoicing and financial updates.

    Resource Coordination

    • Allocate, schedule, and coordinate internal engineering teams and specialist subsea resources.
    • Approve and manage procurement activities, including subcontractor mobilisation, third-party services, and specialist equipment.
    • Ensure suppliers comply with project requirements, safety expectations, and contractual commitments.

    Compliance & Quality

    • Lead multiple projects using Indigo Telecom Group's Project Management Methodology.
    • Develop and maintain comprehensive Project Management Plans.
    • Monitor project progress, manage risks, and implement corrective actions as needed.
    • Ensure successful project closure and customer sign-off.
    • Act as the primary point of contact for assigned projects to both internal and external customers.
    • Build and maintain strong customer relationships throughout the project lifecycle.
    • Ensure timely input and approvals from customers to meet project milestones.
    • Prepare resource forecasts and project phase plans.
    • Report on key project metrics (e.g., cost to complete, effort at completion).
    • Conduct internal and external project reviews and generate monthly service metrics.
    • Manage project budgets, ensuring profitability and cost control.
    • Track revenue, costs, and ensure accurate billing and PO coverage.
    • Contribute to cash flow and working capital targets.
    • Allocate and manage internal and external resources effectively.
    • Approve and oversee procurement activities, including subcontractor and third-party engagements.
    • Ensure adherence to SHEQ (Safety, Health, Environmental, and Quality) standards.
    • Conduct QA audits and ensure documentation meets project and client requirements.
