Overview
We are looking for a Personal Assistant to Directors to provide administrative and some project-based support to 3 of our BurdaInternational Leadership team: Group Managing Director, Chief Technology Officer and Director of Product Propositions and Strategy. This is an exciting opportunity to work closely with the senior team of a dynamic global media business where the environment is friendly, professional and fast paced.
The Personal Assistant will primarily support the 3 Directors and establish the best possible administrative systems to ensure that their time, diaries and travel are well managed.
The ideal candidate will be confident, credible and trusted to deal with highly confidential issues, with a friendly, confident and engaging approach. They will need to be proactive, flexible and adaptable with excellent organisation skills and a highly efficient approach.
Based in the Immediate offices between High Street Kensington and Hammersmith 3 days a week, this hybrid role varies according to the needs of the Directors and their wider global associates. There will be a mix of high level and confidential work as well as diary, expenses and travel management. Along with ad-hoc tasks and projects with the EA to CEO and Chief People Officer, who when on annual leave, there will be the opportunity to cover their role.
An interest and experience in digital media, publishing and luxury brands would be an advantage.
About the role
- Establish the administrative and support systems to effectively run and manage the office and where required, inboxes of the Group Managing Director, Chief Technology Office and Director of Product Propositions and Strategy
- Act as the first point of contact between managers and external contacts, companies, organisations and clients, and take the initiative to deal with enquiries, where appropriate
- Manage and where necessary co-ordinate diaries
- Read and review emails to keep up to date with current work priorities and deal with routine issues
- Manage, prepare and set up internal and external meetings
- Organise team events and dinners
- Produce and write up reports and presentations
- Book and manage extensive global travel itineraries
- Support EA to CEO and Global People Director with monthly expenses
- Liaise as required with other departments of the company
- Generate and maintain records and accounts (invoices, timesheets etc)
Requirements
- Experience working as a senior level PA in a busy team-based environment
- Strong working knowledge of Outlook, Teams, Word, Excel and PowerPoint
- Excellent communication skills
- Action oriented and proactive to seize opportunities and find ways to improve systems and ways of working
- Fast-paced, good planner who can prioritise well and meet deadlines
- Assumes responsibility and understands when there are peaks and troughs in workload. Always happy to muck in, regardless of the task in hand
- Relates well to all kinds of people within and outside the company globally
- Builds rapport easily which leads to positive and effective relationships
- Uses diplomacy and tact and doesn't show stress
- Friendly & Sociable with a positive outlook; upbeat and wants to join in and enjoy work
- Flexible to deal with high level confidential work as well as routine administration
