Purpose of the Role

The purpose of this role is to provide executive, confidential secretarial and administrative support to the CEO of iProspect UK and other members of the iProspect Leadership team.

Key Responsibilities

  • Managing complex diaries for members of the iProspect Leadership team
  • Act as first point of contact for all queries - screen, redirect and action all incoming matters, following up where required
  • Liaising with key stakeholders from across the Dentsu business. Building strong working relationships at all levels both internally and externally
  • Taking detailed minutes/actions for leadership team meetings when required
  • Prepare correspondence, reports, presentations, agendas, minutes etc, using business software applications (e.g., word and excel)
  • Receives and directs incoming calls, visitors, mail and e-mail, prioritising communications as appropriate
  • Book extensive travel and accommodation
  • Above all else leads with confidentiality in all administrative tasks
  • Liaison with senior management and their EA/PA's within dentsu
  • Assisting with both agency events (internal & external) and large client meetings/events; Organising the room bookings, IT support and catering (if required) and being the main point of contact with external stakeholders.
  • Supporting on other areas of the agency including but not limited too; Media Owner sessions, agency training sessions, Award submissions, PO raising and travel assistance.

Qualifications + Skills

  • Experience supporting senior business leaders.
  • Strong communication skills, including written and verbal, ideally with experience of working in communications.
  • Highly organized and strong ability to take the initiative and prioritise.
  • Excellent attention to detail.
  • Confident networker, able to build and maintain good working relationships with colleagues and clients based on trust and consistent delivery.
  • Assertive but in a friendly and diplomatic way.
  • Ability to be flexible and work well under pressure when required.
  • Excellent IT skills including Word, Excel, and PowerPoint.
