People & Culture Manager (12 month FTC)

The Role

Reporting to the Operations Director, we are looking for an experienced People & Culture Manager to work across UK and US Operations. This is a standalone role within the Operations Team, where you will have primary responsibility for the day to day management of the HR function including recruitment with particular focus on guiding and advising the senior leadership team and people managers on HR matters, and executing people focused policies, programmes and processes.

Daily Tasks

  • Being active and present in the studio, offering support and guidance on policies and procedures
  • Supporting managers to nurture a positive organisational culture and a 'culture-first strategy'
  • Delivering a timely and efficient HR administrative support service, approving leave in Factorial and transferring into our PM software, Projectworks
  • Reviewing and phone screening applicants, maintaining a smooth recruitment process and arranging interviews on behalf of the global team
  • Developing a mentally and physically healthy workplace culture

Weekly Tasks

  • Leading on People comms, including all updates to staff benefits, policies and salary sacrifice schemes to global team
  • Sending out a 'Culture Comms' email weekly, highlighting key benefits and policies
  • Presenting any People updates in 'Thursday Club', our fortnightly global team meeting

Monthly Tasks

  • Managing the studio's Wellness budget, organising monthly or quarterly events such as pilates, yoga, breathing workshops etc., working closely with the studio person in the US to organise similar events
  • Driving effective performance management through the business, ensuring that people managers are informed about the process, see its value and have the skills to deliver what the business needs
  • Leading monthly manager sessions, choosing a topic each month for confidential discussion
  • Supporting, coaching and developing managers in the delivery of HR policies and processes
  • Coaching/advising managers on current and upcoming issues in the organisation, performance issues, employment law advice etc.
  • Working with the Financial Controller and Operations Director on payroll submissions for UK (monthly) and US (bi-monthly), highlighting any salary changes or promotions
  • Updating the Financial Controller on any upcoming hires and related recruitment fees which need to be forecasted in the budget
  • Supporting the Studio Manager with planning studio-wide social events including team lunches, activities, parties, and days out, keeping within the allocated budget
  • Working with the Operations Director, as part of the BCorp Board, to deliver on our 'Workers' goals for the year

Bi-Annual Tasks

  • Working closely with the Operations Director to manage the timely completion of performance reviews in May and November and leading communications to the wider team
  • Supporting the Ops Director, Financial Controller and Founders with the salary review in June
  • Working through underperformance issues with managers, advising on the best approach
  • Managing 1:1's in February and August, offering guidance and support to managers and ensuring notes and goals are completed

Annual Tasks

  • Carrying out the Staff Satisfaction survey and reporting back to Founders on results for inclusion in company 'All Hands'
  • Working with external US HR consultant to review the US employee handbook in January

Ad Hoc

  • Working with managers to write job specs for required roles and sourcing both freelance and permanent candidates through a variety of channels, both internal and external
  • Ensuring hiring managers have the skills to interview effectively and understand our commitment to diversity, equity and inclusion
  • Managing the administration for all HR processes including onboarding, goal setting, end of probation, performance reviews, development plans, salary reviews, exit interviews and offboarding
  • Producing and issuing all HR documentation, including but not limited to; offer letters, contracts of employment, reference requests, right to work checks and changes to terms and conditions documentation
  • Maintaining employee documentation using the HR system (Factorial) and ensuring that all documentation is present and complete
  • Hosting back to work check-ins after periods of leave, facilitating appropriate conversations and actively supporting
  • Handling ER cases such as disciplinary issues and ensure legal requirements are met across UK and US Operations, with assistance from external consultant if required
  • Requesting additions and removals of members from healthcare and 401k schemes

Skills & Experience

  • BSc degree in Human Resources Management or Organisational Psychology or CIPD qualified
  • Minimum of 3 years relevant experience in HR and/ or Talent Management
  • Experience of working as a standalone HR practitioner in SME businesses
  • Ideally, experience of working within the Creative Industry and reviewing Creative profiles
  • Hands-on experience with Human Resources Management Software (including payroll systems and applicant tracking systems)
  • Solid understanding of employment law and legislation
  • Excellent influencing and general communication skills
  • Commitment to confidentiality and professionalism
