Title: Office Manager/Executive Assistant

Reports to: Managing Director, UK and EMEA

Position: Full time - Onsite - Permanent based in Manchester

In this role, the Office Manager/Executive Assistant delivers first-class service to all stakeholders while providing comprehensive administrative support to the Managing Director UK and EMEA, UK Leadership Team and Management Team. This position is based in Manchester, with occasional travel to Droitwich.

Key responsibilities:

Administration & Office Management

  • Organising and attending meetings, contributing, taking and issuing actions in a timely manner, and managing follow-up on activities.
  • Managing Droitwich/Manchester office archiving in line with data protection and GDPR.
  • Adherence to 5S standards for workstation, office and meeting room areas.
  • Ensuring any sensitive information is kept private and confidential.

Diary & Travel Management

  • Diary management for Managing Director, UK and EMEA.
  • Administrative support to Managing Director, UK and EMEA and other UK Directors.
  • Managing travel and logistic arrangements for all staff and customers.

Financial & Resource Management

  • Managing petty cash for Manchester/Droitwich sites.
  • Ongoing financial monitoring of travel expenses, stationery and refreshment expenditure.

Documentation & Communication

  • Competent and accurate preparation of letters, reports, documents, and presentations.
  • Enhancing customer reporting and providing required feedback to assist with improving the customer experience.

Projects & Admin Support

  • Managing ad-hoc projects and conducting research.
  • Collaborating with the HR Department and providing assistance where required.
  • Oversee company fleet operations, including vehicle allocation, maintenance scheduling, insurance coordination, mileage tracking, and ensuring compliance with relevant policies and safety standards.
  • Plan and deliver employee social events, managing end-to-end logistics such as venue coordination, budgeting, vendor management, communications and on-the-day execution to support a positive workplace culture.

What We're Looking For

To thrive in this role, you should bring:

Education & Experience

  • Minimum of GCSEs (or equivalent) in English and Mathematics.
  • Experience supporting senior leadership or directors and their teams.
  • Experience managing multiple priorities in a fast-paced environment.

Technical Skills

  • Excellent organisational skills, with the ability to multi-task and organise others.
  • Ability to prioritise and manage own workload amid conflicting demands and busy periods.
  • Attention to detail and adherence to deadlines.
  • Ability to filter information and assess priorities effectively.
  • Confident and able to work on own initiative.

Soft Skills

  • Excellent oral and written communication skills; able to professionally represent the Leadership team.
  • Ability to work under pressure and be flexible as part of a small team.
  • Ability to develop and maintain good working relationships at all levels, including during difficult or challenging circumstances.
  • Ability to think ahead and anticipate needs before they arise.
  • Ability to exercise discretion in dealing with confidential or sensitive matters.
