Job overview

An exciting opportunity has arisen working as a PA to the Associate Director for Oldham and the wider team. You will help support the delivery of NHS services for the people of Oldham. The role of PA to the Associate Director ensures capacity and progress in the strategic and operational work of the Borough.

The post holder requires excellent organisational ability; must be flexible and able to use initiative in resolving problems when they arise, along with a consistently high professional approach. The post holder will require a high measure of independent judgement, including sensitivity and discretion with a high degree of initiative to carry out specific duties.

Main duties of the job

  • Proactively manage/support the Associate Directors workload to ensure that all urgent and sensitive issues are dealt with in a timely manner
  • Proactively handle queries and information requests in an efficient manner on behalf of the Associate Director
  • Act as the filter and main point of contact for internal and external contacts, representing the Associate Director in an appropriate manner at all times
  • Handle and communicate complex and sensitive information with the utmost discretion and confidentiality, both internally and externally

Person specification

Education & Qualifications

Essential criteria

  • RSA 2 or equivalent typing skills
  • NVQ 3 in business administration or equivalent in training or experience

Experience

Essential criteria

  • Previous experience in a senior administrative position
  • Competent in Minute Taking

Desirable criteria

  • Knowledge of working within a large complex organisation.

Knowledge

Essential criteria

  • Sound knowledge of word processing packages including Word, Excel, PowerPoint, Outlook (email)

Desirable criteria

  • Awareness of the structure of the NHS

Skills and Abilities

Essential criteria

  • Good communication skills to maintain effective relationships with managers and staff
  • Ability to construct memos and letters from notes provided, by word of mouth, and from digital dictation
  • Ability to demonstrate a high level of oral, written and presentation skills in dealing with external agencies and Trust staff at all levels
  • Planning and organisational skills to prioritise and manage own workload without any direct supervision, and working to tight deadlines whilst maintaining accuracy
  • Ability to maintain utmost confidentiality
  • Ability to work under pressure whilst paying attention to detail.

Disclosure Barring Certificate check

All of our new starters, who are appointed to a post which requires a Disclosure Barring Certificate check (DBS), will be recharged for the full cost of the check (DBS checks for volunteers are free of charge).

An enhanced DBS check costs £38 and a standard check costs £18 (plus an administration charge of £3.50). If you are a substantive member of staff, the full amount will be taken from your first month's salary.

If you are a member of staff on our bank, you will need to repay the full amount from your first salary.

We encourage you to register with the DBS update service at an annual cost of £13 (this is mandatory for bank staff).
