Role Description

We have a fantastic opportunity to join our People and Culture team, working closely with our Heads of our Centres of Excellence and People Directors. We are recruiting for two part time positions, working Monday to Friday.

This is an opportunity to work closely with Senior HR Leaders and have exposure to a wide range of topics, often sensitive and confidential.

You will work closely with either our People Directors who provide people partnering support to our business areas or the Heads of our COEs (Reward, People Operations, People Experience and Change) to help manage their time, priorities, and commitments. There are busy calendars and conflicting priorities to navigate.

This is a varied role, with a great deal of flexibility in terms of hours and days needed in the office.

Location:

Guildford. This is a hybrid role with the expectation to be on-site in Guildford 40% of the time.

Salary Information

Circa £40k per annum for a full time postion. As this is a part time role working 25 hours per week, Monday to Friday, the salary is pro rata at Circa £28k per annum.

Pay is based on relevant experience, skills for the role, and location. Salary is only one part of our total reward package.

About You

  • Manage the People Directors and Heads of COE's diaries ensuring all meetings are scheduled, travel logistics arranged and corporate planning timescales are met.
  • Anticipates and fulfils the needs and requirements for meetings and conferences (including webinars etc).
  • Ensures key meeting reports, minutes, slide packs/meeting papers, action updates and presentations are completed and issued in good time.
  • Handles confidential data on behalf of the People Directors and COE's in a sensitive manner.
  • Prepares and processes invoices for authorisation.
  • Gathers and prepares expense claims on behalf of the People Directors and COE's
  • Drives and ensures that communications from the Executive (blogs, intranet content, including organisation charts and distribution lists) are always kept up-to-date.
  • Provides cover for other PAs when required.

Essential Skills

  • Proven PA experience, with a track record of showcasing excellent organisational, interpersonal, communication and prioritisation skills.
  • Excellent attention to detail, capable o f building relationships with stakeholders and represent the Senior Leadership team within People & Culture (HR)
  • Advanced proficiency in MS Suite
  • A resilient self-starter, able to take on responsibility without direct supervision.
  • Experience using AI tools such as Chat Bots / Co-Pilot / GPT is desirable but not essential
