About the Role
We are seeking an experienced, highly organised and proactive Office Manager / Team Support professional to support a dynamic investment management team based in London.
This is a broad and varied role combining office management, executive assistance and team administration. The successful candidate will play a central role in ensuring the smooth day-to-day running of the office and providing high-quality support to senior leadership and the wider team.
This role is offered on a flexible, part-time basis (either 3-4 full days per week or reduced hours across 5 days).
Requirements
Key Responsibilities
Office Management
- Oversee day-to-day running of the office
- Act as primary contact for building management and external suppliers
- Manage office facilities, equipment, IT coordination and supplies
- Coordinate office moves or reconfigurations (if required)
- Ensure a professional and welcoming environment for visitors
Executive & Team Support
- Diary management for senior team members
- Coordinate internal and external meetings (including investor meetings)
- Arrange domestic and international travel
- Prepare meeting materials and presentations (PowerPoint, Word, Excel)
- Manage expense processing and invoice approvals
- Support board and investment committee logistics
Events & Client Support
- Assist with organisation of investor events and team offsites
- Support preparation of marketing materials and meeting packs
- Welcome visitors and coordinate hospitality
Administration & Operations
- Maintain internal records and document management systems
- Assist with onboarding of new joiners (equipment, access, logistics)
- Support HR administration (holiday tracking, documentation coordination)
- Liaise with external providers (accountants, IT, legal where required)
Candidate Profile
- Previous experience in an office manager, team assistant or executive assistant role
- Experience within financial services, investment management, private equity, real estate or professional services preferred
- Highly organised with strong attention to detail
- Professional, discreet and comfortable handling confidential information
- Strong written and verbal communication skills
- Proactive and solutions-oriented
- Strong Microsoft Office skills (PowerPoint, Excel, Outlook, Word)
- Comfortable working in a small, high-performance team environment
