Do you want a job where no two days are the same? Always ready to step in and help (and step up) where needed? We're looking for an Office Manager/Team Assistant to join our 30+ people team in London and become the heart and soul of the place.
Every day brings a new challenge and you will find yourself wearing many hats in this role-the most important thing is to enjoy it! This is our first support role in the team, which gives you a great space to create, design, and integrate the role within the rest of the team. Your support will be very much needed and appreciated.
Your Challenge
- Make the office an attractive and inviting space that motivates our team to come in, while also fostering an environment that supports efficiency and productivity.
- Owning our office operations including welcoming visitors, managing incoming and outgoing mail, couriers, etc.
- Organizing and executing internal and external events for the team in cooperation with the marketing team.
- Providing daily support to the team, which may include work in our systems, Excel sheets, PowerPoint presentations, checking expense reports, or working on ad hoc projects.
- Helping organize business trips (tickets, hotels, business trip settlement), especially to Europe.
- Managing facilities, being in contact with landlords and suppliers, ordering office supplies and refreshments, handling Occupational Safety, Health, and Fire Protection (and helping us find and move the office to a bigger space as we continue to grow).
- In cooperation with our People and Culture team, taking care of our new Ataccamers and their smooth onboarding process (employment contracts, medical checks, first-day organization, attendance, etc.).
- Managing company contracts for our London office (physical and electronic document storage).
Is This You?
- You have previous experience in the international working environment and supporting mid-size teams as an office manager, team assistant, executive assistant, back office assistant, etc.
- You have strong project management skills and can work on multiple tasks at the same time successfully.
- You are a people person with positive energy, great communication skills, an approachable demeanor, and are happy to help others.
- You enjoy taking initiative and ownership and don't need to be micromanaged.
- You have knowledge of MS Office and Google Drive (spreadsheets, formatting, etc.).
- You've worked with some professional communication technologies. We mainly use Slack, Zoom, and Gmail.
- You communicate and write fluently in English.
- You are willing to work onsite 3-4 days per week and with an easy commute to the City of London.
