We are looking for an Office Manager based on site in Redcar on Teesside for the Net Zero Teesside project.

What you'll be doing

The successful candidate will have the following accountabilities:

  • Total responsibility for the provision of office/facilities services, manage to agreed service levels including the line management of the in-house facilities management (FM) team, ensuring the efficient and effective operation of our facilities. Implement strategies to optimise FM services;
  • Responsible to enforce desk booking arrangements and a clear desk policy;
  • Responsible for space planning and overseeing office moves;
  • Creation of Process and Procedures to support the FM team in the smooth running of the office;
  • Work with H&S to ensure Fire Wardens/First Aiders and emergency arrangements for the site are in place and manage this process to ensure full coverage at all times;
  • Ensure compliance with BB policies and procedures at all times. Responsible for production of the site(s) FM Plan(s) & Business Continuity Plan(s);
  • Manage all suppliers/contractors including reactive maintenance contractors and service contractors etc to ensure compliance with H&S regulations and agreed KPIs;
  • Manage and allocate work/tasks using BB Support Tool;
  • Ensure the office remains legally compliant at all times and maintain statutory records accordingly;
  • Carry out 'desktop' reviews of any outstanding requirements and actions in the Company compliance system to ensure we are audit ready;
  • Manage the FM budget for the site(s);
  • Provide an excellent standard of customer service and build relationships within the Permanent office estate and Project site locations, working collaboratively with all stakeholders to increase Property compliance levels;
  • Coordinating key data for internal reviews, stakeholder meetings and drafting appropriate materials for meetings to support the Senior Soft Facilities Manager;
  • Perform various administrative tasks effectively, efficiently and to a high standard, supporting the FM team;
  • Support the project team through mobilisation of administration resource, with admin services, and travel booking.

Who we're looking for

The successful candidate will have the following qualities/accountabilities:

  • Strong knowledge of Health & Safety and building maintenance requirements;
  • Management/supervisory experience;
  • Experience in the provision of Facilities Services and/or Office Management at a Corporate level;
  • Exceptional Customer Service skills;
  • Must be confident in dealing with people at all levels to achieve required results;
  • Excellent verbal/written communication skills;
  • The ability to work independently and successfully manage varying workloads;
  • Experience of the procurement/management of service contracts;
  • Excellent organisation, prioritisation and time management skills and strong attention to detail for meticulous record keeping; providing support working in a fast-paced environment to meet targets and deadlines;
  • Excellent IT skills, confident using Microsoft office packages (Outlook, Word, Excel);
  • Desirable - IOSH Managing Safely & iWFM;
  • Full clean driving licence (travel is required).
