About the Role

Jaja Finance is looking for an Office Manager to join our team. We are looking for an Office Manager to organize and coordinate administration duties for the Executive committee and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety.

You will be responsible for (not limited to):

  • Manage diary and schedule meetings and appointments for the Executive Committee
  • Make travel arrangements and manage expenses for the Executive Committee
  • Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements)
  • Liaise with facility management vendors, including cleaning, catering and security services, and take responsibility for the maintenance of the office
  • Plan in-house or off-site activities, like parties, celebrations and conferences
  • Manage Meeting Room Bookings
  • Organize the office layout and order stationery and equipment
  • Provide general support to visitors
  • Assist in the onboarding process for new hires

Essential skills and Experience

  • MS Office and English proficiency
  • Outstanding organisational and time management skills
  • Up-to-date with latest office gadgets and applications
  • Ability to multitask and prioritize daily workload
  • Excellent verbal and written communications skills
  • Discretion and confidentiality
  • High School degree
  • Proven experience as an Office Manager, Front Office Manager or Administrative Assistant
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvements
