McLaren Racing's entry in Extreme E and Formula E aims to accelerate McLaren Racing's sustainability journey and reach a new, more diverse global audience and workforce. Based on the unique Bicester Heritage site, the Extreme E and Formula E teams combined are known as NEOM McLaren Electric Racing.

The Office Manager plays a critical role in our journey and the team's performance.

This multifaceted position requires strong organisational skills, problem-solving abilities, and a hands-on approach to manage office operations, facilities management, and provide high-level administrative support to our MD & Team Principal and other members of the Senior Leadership Team.

The ideal candidate will be people focussed and passionate about creating a dynamic working environment. The individual will excel at juggling diverse responsibilities, working on various impactful projects to help make Electric Racing a great place to work. This role is truly varied with no two days the same.

The position reports into the People Team - Electric Racing.

Key Accountabilities:

Office Management:

  • Be the face of Electric Racing, welcoming guests to our office, ensuring a positive experience for all.
  • Act as the primary point of contact for day-to-day office operations including visitor management, workspace planning, supplies, equipment, and services.
  • Implement and enforce office policies and procedures to ensure a safe, productive, and great work environment.
  • Organise team events and meetings.
  • Provide administrative support to the MD & Team Principal and members of the SLT including managing calendars, scheduling meetings and complex travel arrangements.
  • Prepare and distribute reports, minutes and presentations on behalf of the MD & Team Principal and the Senior Leadership Team.
  • Conduct research, compile data, and prepare briefing materials and agendas for meetings and presentations.
  • Assist with onboarding new employees.
  • Distribute team communications through the appropriate communication channels - email, briefings or digital signage.

Facilities Management:

  • Develop and maintain relationships with vendors and contractors for facility maintenance, repairs, cleaning and renovations, across Bicester Heritage and McLaren Services.
  • Coordinate facility-related projects.
  • Implement and oversee emergency preparedness procedures, including evacuation plans, first aid provisions, and safety drills.
  • Manage on site security processes including key strategy and alarm process.
  • Manage Sustainability reporting including purchasing data, utility data, waste reports, and mileage.
  • Ensure compliance with health and safety regulations and standards within the workplace.
  • Conduct regular risk assessments and implement measures to mitigate workplace hazards and ensure employee well-being.

Stakeholder Management & Communication

  • Promote a service mentality and partnership approach to build and maintain excellent working relationships with internal and external stakeholders to ensure their appropriate engagement and involvement.
  • Work proactively and collaboratively across the team to support the development of key processes and systems and the delivery of key projects.
  • Successfully implement continuous improvements to processes with the customer needs at the heart of its focus and enhancing the overall employee experience.
  • Strong and professional communication across multiple stakeholder groups and channels.

Knowledge, Skills and Experiences

  • Previous demonstrable administrative and facilities management experience.
  • Able to prioritise a demanding workload and working effectively to deadlines.
  • Excellent communication skills, both written and verbal.
  • High attention to detail, and accuracy of information.
  • Able to identify and implement continuous improvements to key day to day activities.
  • Strong relationship building and stakeholder management.
  • Comfortable working in a fast-paced environment.
  • A track record of getting things done.
  • Proactive attitude with a hands-on approach to resolving issues and improving processes.
  • MS Office - proficient to at least intermediate level Excel, Word, PowerPoint.

NEOM McLaren Electric Racing is based at the Bicester Heritage site on the edge of Bicester.
